Booking Management provides a centralised view of all your bookings. This allows you to easily manage your schedule and provide excellent guest service, such as quickly answering questions about upcoming experiences.

Accessing this feature

Go to Bookings > View Bookings

How to use it

When you first arrive, you'll usually see a list of your most recent or upcoming bookings. It's designed to give you a quick snapshot of what's happening right now or in the very near future.

  1. Understand the Booking List: You'll see a table or list, and each row represents a single booking. Typically, you'll find key information like the booking ID, the guest's name, the date and time of the booking, the experience they've booked, the booking status (e.g., Confirmed, Pending, Cancelled), and the total amount. This overview helps you quickly scan and understand your current schedule.

  2. Using the Filters to Find What You Need: Sometimes you're looking for something specific, and that's where the filters come in handy! Look for options like "Filter by Date Range", "Filter by Status", or "Search by Guest Name/Booking ID".

  • To filter by date: Click on the date range selector (it might look like a calendar icon or a drop-down menu). You can then choose to see bookings for "Today", "This Week", "Next Month", or even a "Custom Range". This is useful for planning ahead or looking back at past bookings.

  • To filter by status: If you only want to see confirmed bookings, or perhaps those that are still pending payment, use the "Status" filter to narrow down your list.

  • To search: Have a guest on the phone and need their booking fast? Type their name or the booking ID into the search bar, and the system will quickly find it for you.

  1. Viewing Full Booking Details: Want to know more about a specific booking? Click on any row in the booking list (usually on the booking ID or the guest's name). This will open up a new page or a pop-up window with all the details for that particular booking.

  • What You'll See in the Details: Once you're viewing the full details, you'll typically find:

  • Guest Information: Their name, contact number, email address, and any special notes they might have added.

  • Booking Items: A breakdown of what they've booked, including the specific experience, number of guests, date, and time.

  • Payment Status: Whether they've paid in full, partially, or if payment is still pending.

  • Booking History: Sometimes you'll see a log of changes or communications related to this booking.

With these steps, you'll be a pro at viewing and managing your bookings in no time.

  • See all your upcoming bookings at a glance: Plan your days and weeks effortlessly.

  • Filter bookings by date, status, or guest: Quickly find exactly what you're looking for, whether it's for today, next month, or a specific guest.

  • Access detailed information for each booking: Everything from guest contact details to what they've purchased.

  • Check payment statuses: Stay on top of your financials and ensure smooth operations.

  • Identify popular booking times or experiences: Use this knowledge to optimise your offerings and marketing efforts.

  • Track booking trends: Understand when your busiest periods are and prepare accordingly.

  • Export your booking lists (if available): Handy for creating reports, sharing with staff, or for your accounting records.

  • Make it a daily check-in: Start your day by quickly reviewing your upcoming bookings. It helps you mentally prepare and ensures you don't miss anything important.

  • Use date filters for planning: Before a busy season or long weekend, use the custom date range filter to see all bookings for that period. This helps with staffing, stock, and overall preparation.

  • Look for patterns: Spend time each month reviewing your bookings. Are certain experiences more popular on specific days? Do you get more bookings during school holidays? These insights can help you fine-tune your marketing and operations.

  • Cross-reference with your team: If you have staff, encourage them to use this feature (with appropriate permissions) so everyone is on the same page regarding guest arrivals and schedules.

  • Keep guest communication smooth: Before a guest arrives, quickly pull up their booking details to refresh your memory. This touch can make a big difference in providing personalised service.

  • Use it for end-of-day reconciliation: At the end of your operational day, a quick check of today's bookings can help you confirm who showed up, what payments were processed, and prepare for tomorrow.
