The Availability Calendar provides a visual overview of your bookings, events, and blocked-out dates. Tourism operators can use this feature to quickly check availability, plan staffing, and identify opportunities for promotions, ensuring efficient resource management and preventing overbookings.

How to use it

Understanding the Calendar View

  1. When you open the Availability Calendar, the current month is displayed. Days with bookings or events are highlighted with a brief description.

  2. To navigate to a different month, click the right arrow (▶️) to move to the next month or the left arrow (◀️) to return to the previous month.

  3. To return to the current date, click the Today button.

Interpreting Calendar Information

Each day displays important details:

  • The number of bookings for that day.

  • The name of the booking (e.g., "Eco Tour - Smith Family").

  • A colour-coded bar or dot representing different booking statuses (e.g., green for confirmed, yellow for pending, red for full).

  • Blank days indicate availability.

Viewing Booking Details

  1. To view the details of a specific booking, click the booking event on the calendar day.

  2. A pop-up window or side panel appears, showing information such as:

  • The guest's name and contact details.

  • The specific tour or activity booked.

  • The number of participants.

  • Payment status.

  • Any special notes.

  1. Click the Close button or outside the pop-up to return to the main calendar view.

Tips

  • Check your Availability Calendar before you confirm a booking to avoid double-bookings.

  • Use the calendar to anticipate busy days and weeks to schedule your team effectively.

  • Identify quiet days to run special promotions, offer new tours, or schedule maintenance.

  • Coordinate resources, such as vehicles, guides, or equipment, to prevent overbookings.

  • Add internal notes or reminders to specific dates for team meetings or marketing campaign launches.
