Accessing this feature

Go to Contacts.

How to use it

  1. Click the Create New Contact button.

  2. Fill in the contact details:

  • First Name & Last Name: Essential for personalising your communications!

  • Email Address: This is super important for sending booking confirmations, newsletters, or special offers.

  • Phone Number: Handy for quick chats or urgent communications.

  • Company (Optional): If this contact works for another business (like a tour operator, hotel, or media outlet), you can enter their company name here.

  • Address (Optional): Useful for sending physical mail or understanding their location.

  • Notes: Use this space to jot down anything important about your interactions with this person. Did they mention their favourite tour? Are they celebrating a special occasion? Did they enquire about a specific package? Put it here!

  • Tags (Optional): This is great for organisation! You can add keywords here like "VIP Customer," "Potential Lead," "Supplier," "Local Partner," or "Media." This helps you group and filter your contacts later on.

  • Source (Optional): How did you meet this person? Was it from your website, a social media ad, a local event, or a referral? Knowing this helps you understand where your best contacts come from.

  1. Review your information.

  2. Click Save.

Tips

  • Be Consistent with Your Data: Try to fill in as much information as you can for each contact. The more details you have, the more powerful your contact list becomes. Consistency in how you enter names or company details will also save you headaches later.

  • Use Tags Smartly: Don't add a few tags; think strategically. What are the different groups of people you interact with? "Family Travellers," "Adventure Seekers," "Local Business," "Repeat Customer" are all great examples. This helps you send relevant information to the right people.

  • Add Notes After Every Interaction: Make it a habit! After a phone call, an email exchange, or a memorable interaction, quickly go to their contact profile and add a note. This helps you build a rich history with each person, making them feel truly valued when you next connect.

  • Keep Your Contacts Up-to-Date: People move, change email addresses, or update their phone numbers. Make it a point to update contact details when you become aware of changes. A clean contact list is an effective contact list!

  • Think Beyond Just Customers: Remember, 'contacts' aren't just your paying guests. Your suppliers, local tourism bodies, media contacts, and potential partners are all vital. Keeping them organised here means you can build a stronger network for your business.

  • Leverage for Marketing: Once you have a well-organised contact list, you can use it to send targeted marketing messages, exclusive offers, or even friendly updates that resonate deeply with each group. This personal touch makes a huge difference!
