Contact list management allows you to organise and view groups of contacts. This helps you send targeted messages, such as offering a discount to past guests or announcing a new package to interested customers, leading to stronger customer relationships.

How to use it

See Your Existing Lists:

  1. Once you've clicked on Lists, you'll see a table or a series of cards, each representing a different contact list you've created (or that might have been automatically set up for you).

  2. Each entry will typically show you the name of the list and how many contacts are currently in it. This gives you a quick overview of all your organised groups.

Pick a List to Explore:

  1. Let's say you want to see everyone in your "VIP Guests" list.

  2. Find that list in the display and click on its name. It might be a blue, underlined link, or perhaps a button. Just click it to open it up!

Dive into the Details:

  1. Once you've clicked on a specific list, you'll be taken to a new page. Here's what you'll see:

  • The List Name: Confirms which list you're currently viewing.

  • Contact Information: You'll see a clear display of all the contacts belonging to this specific list. This usually includes their name, email address, phone number, and maybe a few other key details.

  • Pagination (if applicable): If your list is really long, you might see "Page 1 of X" at the bottom, with arrows to navigate to other pages.

  1. Take a moment to look at the contacts. You can scroll through them, quickly identify individuals, and get a feel for the group you're viewing.

Tips

  • Quickly Scan Contact Details: See names, email addresses, and phone numbers at a glance for everyone in that specific group. This is perfect if you need to quickly find someone's contact information.

  • Understand Your Segments: Get a clear picture of who is in which group. For example, if you have a list for "Family Tour Enquiries," viewing it helps you understand the size and composition of that particular audience.

  • Export Your List (if available): Sometimes, you might need to take your list data outside of Tourism Accelerator for a specific purpose (like creating a custom mailing label list or sharing with a partner, if appropriate). You might see a button like "Export" or "Download CSV" which lets you save the list information to your computer. Don't worry, a CSV file is just a simple spreadsheet format that most programs can open easily!

  • See Connections to Other Features: While viewing a list, you might see links or buttons that allow you to take further action, such as "Send Email Campaign to this List" or "Add New Contact to this List" (we'll cover creating and editing lists in another article!). This helps you seamlessly move from viewing to acting.

  • Create Purposeful Lists: Don't just make lists for the sake of it! Think about why you're grouping people. Examples could be:

  • Past Guests: Segmented by tour type (e.g., "Historical Walk Guests", "Adventure Tour Guests").

  • Future Bookings: Keep track of who's coming up.

  • Enquiry Hot Leads: People who've shown strong interest.

  • Newsletter Subscribers: For your regular updates.

  • Local Partners: Accommodation providers, restaurants, other tour operators.

  • Suppliers: For quick access to vendor contacts.

  • Keep Your Lists Tidy: Just like a physical address book, lists become less useful if they're out of date. Make it a habit to occasionally review your lists. Are there contacts who've moved on? Have new people joined a group? Keeping them current ensures you're always communicating with the right people.

  • Use Lists for Targeted Communication: This is where lists truly shine! Once you have your groups, you can send highly relevant emails or messages. For instance, send a "thank you" and a special discount for a return trip only to your "Past Guests" list. Or announce a new family package to your "Family Tour Enquiries" list. This feels much more personal and effective than a generic blast.

  • Think About the Customer Journey: Consider how your guests move through their experience with you. You might have lists for "Initial Enquiries," "Booked & Paid," "Post-Tour Follow-Up," and "Loyalty Program Members." Viewing these lists helps you understand where each guest is in their journey.
