How to use it
Getting an Overview of Your Work
When you first land on your dashboard, you will see a summary of your current projects or upcoming tasks. This might include things like "New Assignments," "Pending Approval," or "Completed Jobs." Take a moment to familiarise yourself with the layout. You will usually find sections for "My Tasks," "Invoices," and "Profile Settings."
Viewing Your Assigned Tasks or Projects
To see the details of specific jobs, look for a section often called "My Tasks" or "Current Projects". You will see a list of tasks assigned to you. Click on the task title or a View Details button next to any task to open up its full description. Here, you will find all the important information: the dates, location, a detailed description of the service required, and any special instructions. It's all there to help you prepare!
Updating the Status of a Task
Once you've started or completed a task, it's very helpful for us (and for your records!) if you update its status. Within the detailed task view, you will usually find a dropdown menu or a set of buttons like Accept Task, Mark as In Progress, or Complete Task. Select the most appropriate status. For example, once a tour is successfully delivered, click Complete Task. This lets us know everything went smoothly!
Submitting an Invoice for Your Work
To get paid for your work, you'll need to submit an invoice. Look for a section called "Invoices" on your dashboard. You might see a button like Submit New Invoice or a list of tasks that are "Ready for Invoicing." Clicking this will usually open a form. You'll need to:
Select the associated task or project (this links your invoice directly to the work you did).
Enter the invoice number (your unique reference).
Input the invoice date and due date.
Add a description of services and the amount you are invoicing for.
You may also have the option to upload a PDF or image file of your formal invoice document if you have one.
Once all the details are filled in, click Submit Invoice. You'll receive a confirmation, and we'll get to processing it.
Checking the Status of Your Payments
Your dashboard has you covered! Still in the "Invoices" section, you will see a list of all your submitted invoices. Next to each invoice, there will be a status, such as "Submitted," "Approved," "Processing," or "Paid." This helps you keep track without needing to call or email us.
Updating Your Profile Information
It's always a good idea to keep your contact and banking details up to date. Find the "Profile Settings" or "My Details" section on your dashboard. Here, you can update your contact information, business details, and your payment preferences or bank account details. Remember to click Save Changes after making any updates!
Tips
Check in regularly: Make it a habit to log in a few times a week, especially if you have active projects. This helps you stay on top of new assignments, updates, and payment statuses.
Update promptly: Updating your task status as you progress (from "Accepted" to "Completed") helps us keep track and ensures we can process your payments without delay. It also helps us plan our next steps!
Double-check invoices: Before clicking Submit, take a moment to review your invoice details. A quick check of the amount, task reference, and bank details can prevent any delays.
Keep Your Profile Current: If your contact details or banking information change, please update them on your dashboard immediately. This ensures we can always reach you and pay you correctly.
Use the Messaging Feature: If there's a specific question about a task, use any direct messaging or comments section within that task's details. This keeps all communication organised and relevant.
Explore: Don't be afraid to click around and explore the different sections. The more familiar you become, the more efficient you'll be.
