Think of your contact database as your very own little black book for your tourism business. It's a central, organised place where you can keep track of everyone important to your operation – your amazing customers, potential new guests, suppliers, partners, and anyone else you connect with.

Why is this so brilliant for your business? Well, having all this information neatly organised means you can:

  • Build Stronger Relationships: Imagine remembering a guest's favourite tour or their special occasion from their last visit. Keeping notes helps you offer those thoughtful, personalised touches that make people feel truly special and eager to come back!

  • Communicate Effectively: Want to send out a special offer, share exciting news about a new experience, or just say hello? Having everyone's details in one spot makes it easy to reach out to the right people at the right time.

How to Get There

Getting to your contact management area is super easy. Let me show you how:

Alternatively, once you're logged into your Tourism Accelerator account, simply look to the left-hand side of your screen. You'll see your main menu there. Just click on 'Contacts', and you'll be taken straight to your database. It's really that straightforward!

Step-by-Step Guide

Let's walk through how to add, view, and manage your contacts. You'll be a pro in no time!

Adding a New Contact

This is where you bring new people into your organised world!

  1. Click 'Add New Contact': Once you're on the Contacts page, you'll see a prominent button, usually near the top, that says 'Add New Contact'. Give that a friendly click!

  2. Fill in the Details: You'll see a form appear. This is where you'll pop in all the important bits of information.

    • First Name & Last Name: Essential for knowing who you're talking to!

    • Email Address: So you can stay in touch via email – great for newsletters or special offers.

    • Phone Number: Handy for quick calls or texts (just remember to check local communication rules!).

    • Organisation/Company: If they're part of a business or group, you can note that here.

    • Notes: This is a super helpful spot! Use it to jot down anything important about this contact. Did they mention their favourite experience? Are they interested in a specific tour? The more detail, the better for personalising future interactions.

    • You might see other fields too, like address or custom fields – just fill in what's relevant for you.

  3. Click 'Save': Once you've filled everything in, look for the 'Save' or 'Create Contact' button (usually at the bottom of the form) and click it. And just like that, your new contact is safely stored in your database!

Viewing and Editing an Existing Contact

Need to update someone's details or just want to refresh your memory before you call them?

  1. Find Your Contact: On the main Contacts page, you can scroll through your list or use the handy 'Search' bar at the top if you have lots of contacts. Just type in their name, email, or even part of a note you've made.

  2. Click on Their Name: Once you've found the contact you're looking for, simply click on their name. This will open up their full profile, showing you all the information you've stored.

  3. Click 'Edit': On their profile page, you'll usually see an 'Edit' button (often a pencil icon or just the word 'Edit'). Click this to make changes.

  4. Make Your Updates: Now you can change their email, add a new note, update their phone number, or anything else you need.

  5. Click 'Save': Don't forget this crucial step! Once you're happy with your changes, hit the 'Save' button to make sure everything is updated.

Deleting a Contact

Sometimes, you might need to remove a contact. Just be extra careful here, as this action is usually permanent!

  1. Find Your Contact: As before, find the contact you wish to remove.

  2. Click 'Delete': On their profile page, or sometimes directly from the contact list, you'll find a 'Delete' button or a small bin icon.

  3. Confirm: The system will almost always ask you to confirm if you really want to delete the contact. This is your chance to double-check! If you're sure, click 'Confirm' or 'Yes, Delete'. And poof, they're gone from your list.
