The Clients feature organises all your business collaborations in one place. Tourism operators can easily track client organisations, key contacts, and relationship notes, eliminating the need to search through emails or scattered notes.

The Clients feature organises all your business collaborations in one place. Tourism operators can easily track client organisations, key contacts, and relationship notes, eliminating the need to search through emails or scattered notes. This saves time and strengthens professional relationships, allowing you to focus on creating exceptional tourism experiences.

You can go directly to the Clients section using this link: https://launchpad.tourismaccelerator.com.au/clients

Or, from your Tourism Accelerator Launchpad dashboard:

Look for the Clients option in the main menu on the left-hand side of your screen. Click that, and you'll be taken straight to your Client management area.

How to use it

Adding a New Client Organisation

  1. Once you're in the Clients section, look for a prominent button, usually in the top right corner, that says + Add New Client. Click that to get started.

  2. You'll see a simple form appear. This is where you'll enter all the important information about your client organisation.

  • Organisation Name: This is the full name of the business you're adding (e.g., "Great Ocean Road Tours," "Coastal Accommodation Services"). This is how you'll quickly identify them.

  • Contact Person: Who is your main go-to person at that organisation? Enter their name here.

  • Email: The best email address to reach your contact person or the organisation generally.

  • Phone Number: The primary phone number for your client.

  • Address: If you have it, add their physical address. This can be useful for records or if you ever need to send something by post.

  • Notes: This is your valuable tool! Use this space for any important details. Maybe they have specific preferences, a preferred communication method, or a brief history of your collaboration. This is a great spot to note reminders like "Always refer to their marketing manager, Sarah" or "Specialise in eco-tourism packages."

  1. Once you've filled in all the details you have, click the Save button. Your new client organisation will now appear in your list, ready for you to access whenever you need it.

That's it! You've successfully added a new client. You can always come back and edit these details later if anything changes or if you get more information.

Managing Client Organisations

Once you've got your clients in the system, here's a quick look at what you can do to keep everything organised:

  • Add New Client Organisations: As we just covered, you can easily add any new business you start working with.

  • View All Your Clients: See a clear list of all the client organisations you've added, making it easy to get an overview.

  • Edit Client Details: Need to update a phone number, change a contact person, or add some new notes? Just click on a client's name from the list, and you can quickly make any required changes.

  • Search and Filter: As your client list grows, you'll be able to quickly search for a specific organisation by name, saving you time.

  • Keep Track of Key Information: All the contact details, addresses, and important notes are stored centrally, so you never have to hunt for them again.

Tips

To really make the Clients feature most effective for your tourism business, here are a few friendly tips:

  • Be Thorough (But Don't Worry!): Try to fill in as much detail as you can when you add a new client. The more information you have, the more useful the record will be. But don't worry if you don't have everything initially – you can always go back and update it later.

  • Use the 'Notes' Section Wisely: This is one of the most powerful parts! Note things like:

  • Specific project history.

  • Their preferred way to communicate (email, phone, text).

  • Any key preferences or requirements they have.

  • Important dates (e.g., contract renewal, last major project completion).

  • Even personal touches like "Loves a good flat white!" – these little details can really help build strong relationships.

  • Keep It Updated: Client details can change. Make it a habit to quickly check and update a client's record whenever you have new information, like a new contact person or a change in their address. An up-to-date and accurate list is a helpful list!

  • Integrate with Your Workflow: Before you start a new project for a client, or before an important call, quickly check their client record. A quick review of their details and notes will help you feel prepared and professional.

  • Encourage Your Team: If you have a team, make sure everyone knows to use this central Clients list. This way, everyone is on the same page, and information isn't isolated with just one person.

By using the Clients feature consistently, you'll find yourself more organised, more efficient, and better equipped to build lasting, successful relationships with your tourism business partners.
