Accessing this feature

Go to Settings > Calendar > Connections

How to use it

  1. Initiate the Connection: On the Google Calendar Sync page, click the Connect Google Calendar button.

  2. Choose Your Google Account: Sign in to your Google account or choose the account you want to use. Select the Google account that manages the calendar you want to sync your bookings to.

  3. Grant Permissions: Google will ask for your permission for Tourism Accelerator to access your calendars. You'll see a screen asking you to Allow or Accept permissions. Make sure to tick the boxes that allow Tourism Accelerator to access the necessary permissions. Click Allow or Continue.

  4. Select Your Calendar: Once permissions are granted, you'll be brought back to Tourism Accelerator. From the dropdown, select the Google Calendar you want your Tourism Accelerator bookings to appear in.

  • Tip: Create a dedicated Google Calendar specifically for your Tourism Accelerator bookings. Name it something like "My Tour Bookings" or "Tourism Accelerator Schedule" to keep your business bookings separate and organised.

  1. Confirm and Save: After selecting your preferred calendar, click Save Settings or Enable Sync. Our system will now start syncing your future and existing Tourism Accelerator bookings to your chosen Google Calendar. You'll likely see a confirmation message, something like "Google Calendar Sync is now active!"

With Google Calendar Sync running, you can:

  • See All Your Bookings in One Place: Every confirmed booking from Tourism Accelerator will automatically show up in your chosen Google Calendar, giving you a complete overview of your schedule.

  • Share Your Schedule Easily: If you share your Google Calendar with your team or partners, they'll instantly see your updated booking schedule without needing access to Tourism Accelerator.

  • Prevent Double Bookings: By seeing your Tourism Accelerator bookings alongside any personal appointments or other business commitments in your Google Calendar, you can easily avoid scheduling conflicts.

  • Quickly Access Booking Details: Each event in your Google Calendar will include key details from your Tourism Accelerator booking, like the guest's name, booking reference, and the activity booked.

  • Plan Your Day Better: Having a visual representation of your upcoming tours and activities helps you plan staffing, equipment, and preparation more efficiently.

Tips

  • Create a Dedicated Calendar: Having a Google Calendar named "[Your Business Name] Bookings" or "TA Schedule" keeps things incredibly neat and tidy, separating your business operations from personal appointments.

  • Customise Calendar Colours: In Google Calendar, you can assign different colours to different calendars. If you have multiple services or types of bookings, you could set up separate calendars in Google and sync them, using different colours to visually differentiate between them.

  • Share with Your Team: If you have staff, share your dedicated Tourism Accelerator Google Calendar with them. They'll always have the latest schedule, reducing communication overhead and ensuring everyone is on the same page.

  • Check Your Time Zones: Double-check that your Google Calendar and Tourism Accelerator accounts are set to the correct time zone.

  • Understand What Syncs: Currently, the sync primarily pushes your confirmed bookings from Tourism Accelerator to your selected Google Calendar. If you make changes in Google Calendar, they won't automatically update back in Tourism Accelerator (and vice-versa for availability blocking). Manage your core booking details and availability within Tourism Accelerator.

  • Review Regularly: While the sync is automatic, it's always a good habit to glance at your Google Calendar and compare it with your Tourism Accelerator dashboard occasionally, just to ensure everything looks perfect.
