The Zapier app integration connects Tourism Accelerator with thousands of other apps, automating repetitive tasks. For tourism operators, this means less manual data entry and more time to focus on creating experiences for guests. How to use it
Connecting Tourism Accelerator to Zapier
Log into your Zapier account. If you don't have one yet, head over to zapier.com and sign up β they have a to get you started!
Once you're logged in, create a new connection. In Zapier, you can often do this by looking for an "Apps" or "Connections" section, or it will prompt you when you start building your first Zap.
Search for "Tourism Accelerator". When you find it, select it.
Zapier will then ask you to connect your Tourism Accelerator account. This is where you'll need that special API Key we found earlier.
Copy your API Key from the Integrations section in Tourism Accelerator.
Paste the API Key into the field Zapier provides and click Continue or Connect.
Zapier will confirm that your Tourism Accelerator account is now successfully connected!
Creating Your First Zap (Automation Workflow)
In Zapier, click on "Create Zap" or "Make a Zap".
Choose your "Trigger" app: This is the app where something happens to kick off the automation. Search for and select "Tourism Accelerator".
Choose your "Trigger Event": Zapier will ask what specific action in Tourism Accelerator should start the Zap. For our example, select "New Booking".
Choose your "Action" app: This is the app where something gets done after the trigger. Search for and select "Google Sheets".
Choose your "Action Event": What do you want Google Sheets to do? Select "Create Spreadsheet Row".
Connect your Google Sheets account: If you haven't already, Zapier will ask you to connect your Google account. It's a quick, secure process.
Set up your Action:
Choose your Spreadsheet: Select the Google Sheet you want to use (you might need to create an empty one with column headers like "Booking ID," "Guest Name," "Email," "Booking Date" first).
Choose your Worksheet: If your spreadsheet has multiple tabs, pick the right one.
Map the fields: This is where you tell Zapier which information from the new booking in Tourism Accelerator should go into which column in your Google Sheet. For example, you'd match "Guest Name" from Tourism Accelerator to your "Guest Name" column in Google Sheets. It's like filling out a form!
Test your Zap: Zapier will give you an option to "Test" your Zap. This is really helpful as it sends a sample of real data through to make sure everything is working as expected. If it works, fantastic!
Turn on your Zap: Once you're happy with the test, click the "Publish Zap" or "Turn on Zap" button.
If you're stuck, that's okay β here's help: Zapier has fantastic guides and a friendly support team, too! You can always refer to their help articles for specific apps or reach out to us if you need a hand. Remember, it's all about learning, and we're here to help you every step of the way. Congratulations! You've just built your first automated workflow, saving you time and effort.
Tips
The possibilities with Zapier are endless, but here are some popular ways our tourism operators use it to streamline their business:
Automate Guest Data: When a new booking comes in, automatically add guest details to your CRM (Guest Relationship Management) system like HubSpot or Salesforce. Add new guests to your email marketing list in Mailchimp, ActiveCampaign, or ConvertKit.
Streamline Communications: Send new booking details to a specific Slack channel for your team. Create a task in your project management tool (like Asana or Trello) for special requests noted in a booking.
Manage Finances & Reporting: Automatically create invoices or contacts in Xero or QuickBooks when a booking is confirmed. Update a Google Sheet with booking numbers, revenue, or guest demographics for easy reporting.
Enhance Post-Booking Experience: Schedule a follow-up email a few days after a tour to ask for a review. Send a personalised SMS reminder to guests the day before their experience.
You're already doing great! Here are a few friendly tips to help you become a Zapier pro:
Start Small: Don't try to automate everything at once. Pick one repetitive task that takes up a lot of your time and build a Zap for that first. Once you're comfortable, you can always build more!
Think About Your "Time Consuming Tasks": What tasks do you dread doing because they're repetitive or manual? Those are usually the best candidates for automation with Zapier.
Test, Test, Test: Always use Zapier's test feature when setting up a new
