How to use it
Access the Participants Section:
[Navigation path is missing - REQUIRES_DEVELOPER_INPUT] You will see a list of everyone currently enrolled across all your programs.
Filter Your View (Optional):
If you have many programs, you might want to focus on a specific one.
At the top of the participant list, you will see a "Filter by Program" dropdown menu.
Click on it and select the program you're interested in. The list will then show only the participants for that particular program.
View Participant Details:
To see more information about a specific participant, click on their name in the list. This will open up their individual participant profile.
Explore the Participant Profile:
On this page, you'll see all the important details:
Their contact information (email, phone).
Which program they're enrolled in.
Their booking date and any relevant booking IDs.
Any special requests or details they provided during enrolment.
Update Participant Status:
Look for the "Status" field (it might be a dropdown menu).
You can change it to things like 'Confirmed', 'Pending', 'Cancelled', or 'Completed'. This helps you keep a clear overview of everyone's journey.
Add Private Notes:
You'll find a section labelled "Notes".
Click in the box and type in any private notes you want to keep about this participant. This could be anything from "Loves photography" to "Has a dairy allergy" or "Requested a window seat". These notes are just for you and your team β participants won't see them.
Save Your Changes:
If you've made any updates (like changing a status or adding notes), remember to click the Save Changes button, usually found at the bottom of the profile page.
Go Back to the List:
When you're done with one participant, you can use the "Back to Participants" button (often an arrow or a link at the top) to return to your main list.
Tips
Before each program, review your participant list. This helps you confirm numbers and check for any last-minute changes.
Use private notes for everything β "celebrating an anniversary," "mobility assistance required," "prefers vegetarian meal."
If you notice a participant's status is 'Pending' close to the program date, send a friendly reminder email.
Export your participant list to your phone or print it out for offline access.
Track program completion by marking participants as 'Completed'.
Encourage team collaboration to ensure everyone is on the same page.
