How to use it
Adding a New Port
Let's imagine you've just added a new tour that departs from a different location. Here's how to add that new port:
On the Manage Ports screen, you'll see a big button that says + Add New Port. Go ahead and click that!
You'll then see a simple form appear. This is where you'll tell our system all about your new port:
Port Name: This is what your guests will see, so make it clear and easy to understand (e.g., "Circular Quay Ferry Terminal - Wharf 6", "Byron Bay Lighthouse Lookout").
Location/Address: Enter the full street address or a specific landmark that helps identify the port. This helps with mapping and ensuring accuracy.
Description (Optional): This is a great spot to add any extra helpful details for your team or guests. For example, "Meet under the clock tower" or "Look for our branded shuttle bus at the northern end of the car park."
Coordinates (Optional): If you have specific GPS coordinates, you can add them here for precise mapping. Don't worry if you don't have these, the address usually works perfectly!
Is this an active port? You'll see a little checkbox here. Make sure it's selected if this port is currently in use for your services. If it's a future port or one you're temporarily not using, you can deselect it for now.
Once you've filled in all the details, click the Save Port button at the bottom of the form. You'll see a confirmation message, and your new port will now appear in your list!
Editing an Existing Port
Things change, and that's okay! Maybe an address has been updated, or you want to add more detail to a description.
On the Manage Ports screen, you'll see a list of all your currently saved ports. Find the port you want to update.
On the right-hand side of that port's row, you'll see an Edit button (it might look like a little pencil icon). Click on that.
The same port details form will appear, but this time it will be pre-filled with all the existing information for that port.
Go ahead and make any changes you need β update the name, adjust the address, or add that helpful description.
When you're happy with your changes, click the Save Changes button at the bottom of the form. You'll get a confirmation, and your updated port details will be live!
Deleting a Port
If a port is no longer in use, you can easily remove it from your list.
On the Manage Ports screen, find the port you wish to remove.
On the right-hand side of that port's row, you'll see a Delete button (often a bin icon). Click on it.
We'll always ask you to confirm, just to make sure it wasn't an accidental click! A little pop-up will ask, "Are you sure you want to delete this port?" If you're absolutely sure, click Confirm Delete.
The port will be removed from your list. Just a heads-up: if this port was linked to any active tours or bookings, you might need to update those separately to make sure everything is still accurate.

With the Manage Ports feature, you're in control! Here's a quick rundown of what you can achieve:
Add brand new pick-up and drop-off points: Easily expand your service areas or introduce new tour starting points.
Update existing port details: Keep all your location information accurate and current, ensuring no one gets lost!
Deactivate ports temporarily: If a port is out of use for a season, you can deselect the 'active' box without deleting it.
Remove old ports: Keep your list tidy by deleting any locations you no longer use.
Get a clear overview: See all your operational locations in one easy-to-read list.
Link ports to your services: Once created, these ports become available to select when you set up or edit your tours and activities.
Tips to Get the Most Out of This
Be Specific with Names: Use clear, descriptive names for your ports. Instead of just "Jetty," try "Main Beach Jetty (near Surf Club)" so your guests know exactly where to go.
Use the Description Field: This is your secret weapon! Add details like "Meet at the yellow flagpole" or "Look for our blue bus." This extra info is valuable for your guests and your team.
Keep it Current: Make it a habit to check your port list every few months or whenever you change your routes. An old address can lead to confusion and unhappy guests.
Test Your Directions: If you're unsure, do a quick "dry run" to a new port yourself to confirm the accuracy of the address and description.
Educate Your Team: Make sure your guest service team or guides know how to access this information and can confidently direct guests to the correct port.
