allows you to view and manage attendees for your tours, events, and experiences. This feature helps you see who's booked, check their details, update their status, and prepare for any special requests, ensuring a seamless and personalised guest experience.
Accessing this feature
First, log in to Tourism Accelerator Launchpad. You can go directly to https://launchpad.tourismaccelerator.com.au. Once logged in, look for the main menu. Click on Events & Bookings. From the dropdown menu that appears, click on Manage Registrations.
How to use it
Select Your Event or Tour
On the "Manage Registrations" page, you will see a list of your upcoming and past tours, events, or experiences that have registrations.
Find the specific event you want to manage. Use the search bar or filters to locate it quickly if you have many offerings.
Click on the View Registrations button next to the event name. This will take you to the list of attendees for that particular event.
View Your Attendee List
You'll see a list of everyone who has registered for your chosen event.
Each row will show details like their name, booking reference, date of registration, and current status.
Sort this list by clicking on the column headers (e.g., by name, registration date) to organise it.
Dive into Individual Registrant Details
To see more information about a specific person, click on their name or the View Details button next to their entry.
This will open a detailed view of their registration.
Here, you'll find their contact information (email, phone), the number of people in their party, any specific questions they answered during registration, and any special requests or notes they might have added.
Update Registration Status
In the individual registrant details view (or directly from the list), you'll find options to update their status.
Common status options include:
Confirmed: They're all set!
Pending: Awaiting payment or further information.
Cancelled: They've had to pull out.
Attended: They joined your experience!
No Show: They didn't make it.
Select the correct status.
Make Any Necessary Edits
If a registrant needs to update a detail (e.g., a phone number or a minor change to their booking), you can edit their information directly within their detailed view.
Click on the Edit button, make your changes, and then click Save.
Save Your Changes
Click the Save or Update button after making any changes to an individual registration. This ensures your updates are recorded and available for your whole team to see.
Tips
Check your registrations daily or a few times a week, especially as an event approaches. This helps you stay on top of new bookings, cancellations, and any urgent requests.
Before your event, use the contact details to send out reminders, information (like what to bring or where to meet), or a welcome message.
Double-check any special requests or notes well in advance. Whether it's a dietary requirement, accessibility need, or a birthday celebration, being prepared shows you care and makes a difference to the guest experience.
If you have a team, ensure they know how to access and use this feature. Everyone involved in the tour or event should be able to quickly check attendee lists and details on the day.
After the event, you can use the "Attended" status to identify who joined. This list is great for sending out thank-you notes, feedback surveys, or targeted marketing for future experiences.
For tours in areas with limited internet, consider exporting your attendee list to a spreadsheet and printing a hard copy for the day of the event.
If someone calls to cancel or you notice a mistake, update it in the system. Accurate records are important!
