Use and create event templates (premium, custom)

allow you to create pre-set blueprints for common or recurring events. This saves tourism operators time by pre-filling event details like descriptions and pricing, ensuring consistency and reducing errors. For example, create a template for a daily city tour to quickly schedule each instance with consistent information.

Accessing this feature

Go to Events > Event Templates

How to use it

Creating a New Event Template

  1. Go to Events > Event Templates.

  2. On the Event Templates page, click the + Create New Template button.

  3. Fill in the template details:

  • Template Name: Give it a clear, descriptive name (e.g., "Daily City Highlights Tour Template," "Weekend Bush Tucker Workshop Template").

  • Description: Write out your standard event description, highlights, what's included, and any essential information guests need to know.

  • Duration: Set the typical length of your event.

  • Capacity: What's the usual maximum number of guests?

  • Pricing: Set your standard pricing structure.

  • Images & Videos: Upload any default images or videos that represent this event.

  • Requirements: Any specific gear, fitness levels, or age restrictions?

  • Custom Fields: If you use custom fields for your events, fill in any default values here too.

  • Important Note: Don't worry about specific dates and times here – that's what you'll add when you use the template to create a live event!

  1. Once you've filled in all the common details, scroll to the bottom and click the Save Template button.

Turning an Existing Event into a Template

  1. From your main menu, click on Events, then All Events.

  2. Find the event you want to turn into a template and click on its name to open its details.

  3. Once you're viewing the event details, look for an option like More Actions or a dropdown menu, and within that, you should see Save as Template. Click it!

  4. A pop-up or new screen will appear, pre-filled with all the details from your chosen event. Review everything to make sure it's exactly how you want it for the template. Give your template a clear, unique name.

  5. Click Save Template.

Using an Event Template to Create a New Event

  1. Go to Events > Event Templates.

  2. On the Event Templates page, you'll see a list of all your created templates. Find the one you want to use.

  3. Next to the template's name, you'll see a button that says Use Template (or similar). Click this.

  4. A new event creation form will open, pre-filled with all the information from your template. Now, add the unique details for this specific instance of the event:

  • Event Date & Time: Set the date and time for this particular event.

  • Specific Notes: Add any notes unique to this event (e.g., "Special guest speaker today!" or "Meeting point slightly adjusted for roadworks").

  • Capacity Adjustments: If this specific event has a different capacity than usual.

  • Pricing Adjustments: If you're running a special promotion or a different price for this date.

  1. Once you've made your adjustments, click Create Event or Publish Event.

Editing or Deleting a Template

  1. Go to Events > Event Templates.

  2. Locate the template you wish to edit or delete in the list.

  • Use clear, descriptive names for your templates to easily organise and find them.

  • Regularly review and update your templates to reflect any changes in your event offerings.

  • Consider creating templates for different seasons or special promotions to streamline event creation.
