How to use it
Finding a Specific Booking
From the Manage Bookings page, you'll see a list of all your bookings.
To find a specific one, you can use the Search Bar at the top.
Type in the guest's name, booking ID, or even part of their email address.
You can also use the Filter Options (like "By Date," "By Status," or "By Experience") to narrow down your list.
Click on the filter you want to use, select your criteria, and click Apply Filters.
Once you've found the booking, click anywhere on the booking row to open its Booking Details page.
Viewing and Editing Booking Details
Once you're on the Booking Details page, you'll see everything about that booking.
To make changes, click the Edit Booking button, located at the top right of the details section.
You'll see a form appear where you can update things like:
Guest contact information (phone, email)
Guest numbers (if your experience allows)
Booking date or time (if available for that experience)
Any special requests or notes.
After making your changes, always remember to click the Save Changes button at the bottom of the form. This will update the booking in your system.
Adding an Internal Note to a Booking
Sometimes you need to add a private note for your team, like "Guest prefers window seat" or "Called to confirm dietary needs."
On the Booking Details page, scroll down until you see the Internal Notes section.
Type your note into the text box provided.
Click Add Note.
Your note will be saved with a timestamp and your user name, so everyone on your team knows who added it and when.
These notes are only visible to your team, not the guest!
Cancelling a Booking
Need to cancel a booking?
From the Booking Details page, look for the Cancel Booking button.
Click Cancel Booking.
You'll see a pop-up window asking you to confirm the cancellation and possibly choose a reason. This helps with your internal record-keeping.
If a refund is applicable, the system will guide you through the refund process. You might need to confirm the refund amount.
Confirm the cancellation. The booking status will update, and any relevant notifications will be sent (e.g., to the guest, if your settings are configured for that).

View detailed booking information: Access all guest and booking specifics.

Add private internal notes: Communicate important information with your team.
Cancel bookings: Process cancellations efficiently and manage refunds.
Track payment status: See if a booking is paid, partially paid, or awaiting payment.
Communicate directly with guests: You can send booking confirmations or updates directly from the system.

Keep Your Notes Updated: Use the internal notes section regularly. It's great for logging guest conversations, special requests, or any unique circumstances. Your whole team will thank you for the communication!
Check Filters Regularly: Get comfortable using the search and filter options. They're your best friends for seeing "all bookings for next week" or "all unpaid bookings."
Communicate Proactively: If you make a change to a booking, always follow up with an email or phone call to your guest. Good communication builds trust and avoids misunderstandings.
Review Your Schedule Daily: Make it a habit to review your bookings each morning. This helps you anticipate busy periods, prepare for special requests, and stay on top of any last-minute changes.
Understand Your Cancellation Policy: Before cancelling any booking, make sure you're clear on your own business's cancellation and refund policies. Our system helps facilitate the process, but you're the expert on your policies!
