The Contact Data Export feature allows you to download contact details collected through Tourism Accelerator. This enables you to back up your data or transfer contact lists to email marketing platforms for targeted campaigns, helping you connect with guests effectively.
Accessing this feature
Go to Contacts.
How to use it
Once you're on the Contacts page, look for a button that says Export Contacts (it's usually near the top right of the contact list).
Clicking that button will take you straight to the export wizard.
Start the Export:
Once you've clicked Export Contacts, a new window or section will appear, asking you what you'd like to do.
Choose Your Contacts:
You'll have a couple of options here. You can choose to:
Export All Contacts: This is perfect if you want a complete list of everyone in your system.
Export Selected Contacts: If you've already filtered your contacts on the main list (for example, by tag, location, or recent activity), you can choose to export just that specific group. This is fantastic for targeted campaigns!
Export by Tags: You might see an option to select specific tags. If you've organised your contacts with tags like "Family Travellers" or "Adventure Seekers", you can choose to export only contacts with those tags.
Select Your Data Fields:
This is where you decide exactly what information about your contacts you want to include in your export. You'll see a list of available fields like:
First Name
Last Name
Email Address
Phone Number
Organisation Name
Address
Any custom fields you've created (like "Favourite Tour" or "Dietary Requirements")
Simply tick the boxes next to the fields you want to include. Don't worry if you're not sure β you can always select them all and remove what you don't need later!
Choose Your File Format:
The most common and widely used format for exporting data is CSV (Comma Separated Values). This is a simple, plain text file that can be opened and easily edited in spreadsheet programs like Microsoft Excel or Google Sheets. We recommend sticking with CSV unless you have a specific reason for another format.
Initiate the Export:
Once you've made your selections, click the Generate Export or Download Export button.
Your File is Ready!
Depending on the size of your contact list, the system will either immediately download the file to your computer, or it might prepare it in the background and notify you when it's ready. If it's a large file, you might even receive an email with a download link. Your contact data will now be securely saved on your computer, ready for you to use.
With your exported contact list in hand, you've opened up a world of possibilities for your tourism business! Here are just a few things you can now easily do:
Create targeted email campaigns: Upload your segmented contact lists to your email marketing software for highly personalised promotions.
Update your CRM system: Keep your external customer relationship management tools perfectly synchronised with your Tourism Accelerator data.
Perform data analysis: Dive into the details using spreadsheet software to understand your guest demographics, booking patterns, and preferred activities.
Generate mailing lists for physical mail: If you ever send out postcards or brochures, this list is a great starting point.
Create custom reports: Design your own reports based on specific data points to track guest engagement and loyalty.
Secure your data: Have a reliable backup of all your hard-earned contact information stored safely offline.
Tips
Regular Backups are Your Best Friend: Make a habit of exporting your contacts regularly. Whether it's once a month, once a quarter, or before a big marketing push, having a fresh backup can save you worry.
Keep Your Data Clean: Before exporting, take a moment to review your contacts. Remove any duplicates or outdated information. "Clean" data makes your marketing efforts more effective!
Use Tags Effectively: Our tagging system is incredibly powerful. Use it to categorise your contacts based on their interests, previous bookings, where they heard about you, or any other detail relevant to your business. This makes choosing "Selected Contacts" for export targeted.
Segment for Personalisation: Don't export everyone all the time. Think about who you're trying to reach. Exporting a list of "Recent Bookers" for a loyalty offer is more effective than sending it to everyone.
Understand Your Spreadsheet Software: If you're new to using CSV files in programs like Excel or Google Sheets, spend some time getting familiar with them. Learning basic sorting and filtering can make managing your exported data efficient. There are free tutorials online!
Protect Sensitive Information: Always remember that contact data is valuable and often sensitive. Store your exported files securely and only share them with trusted team members who need access.
