Client management allows you to store and organise guest information. By adding client details, you can track preferences, manage bookings efficiently, and personalise communications, leading to stronger relationships and repeat business.

Accessing this feature

Go to Clients.

How to use it

  1. Click the Add New Client button.

  2. A new page will appear, asking for your client's details.

  3. Enter the following information:

  • First Name: Type in your client's first name.

  • Last Name: Enter their last name.

  • Email Address: This is essential for communication. Make sure it's accurate!

  • Phone Number: Another important contact detail.

  • Address (Optional): You might see fields for Street Address, Suburb, State, Postcode, and Country. You can fill these in if they're relevant to your business (e.g., for sending welcome packs or invoices).

  • Notes/Preferences: This is a useful section for tourism operators! You can add anything special about the client here – maybe they prefer private tours, love historical sites, have a dietary requirement, or celebrated a special occasion last time they booked with you. This personal touch is very effective.

  • How They Heard About Us (Optional): This can be helpful for understanding where your bookings are coming from. Options might include 'Website', 'Social Media', 'Referral', 'Online Travel Agent'.

  1. Go through each field, entering the information you have for your new client.

  2. When you are satisfied with everything, click the Save button (it might also say Create Client or Add Client).

With your client records, you can:

  • View Client Profiles: Easily access a client's full details, including their contact information, notes, and booking history, anytime you need it.

  • Track Bookings: See all the past and upcoming bookings associated with a specific client. This helps you understand their travel history and preferences.

  • Update Information: If a client's details change (new phone number, different address), you can quickly and easily update their profile to keep your records current.

  • Send Targeted Communications: Use their email addresses for sending personalised offers, newsletters about new tours they might like, or important updates.

  • Enhance Customer Service: When a client calls, you can quickly pull up their profile, recognise them, and immediately understand their history or specific needs, making them feel truly valued.

  • Plan Future Experiences: Use the 'Notes/Preferences' section to remember those small details that make a big impact, helping you suggest or create even more memorable experiences for them next time.

Tips

  • Gather Complete Information: Try to gather as much information as you can when you first add a client.

  • Use Notes Effectively: This is your valuable tool! Did they mention a special interest in local wildlife? Are they celebrating an anniversary? Do they have any accessibility needs? Add it to the notes!

  • Keep Information Current: If a client's contact details change or you learn something new about their preferences during a tour, take a moment to update their profile.

  • Personalise Communications: Use the information you've collected to tailor your communication.

  • Analyse Client Data: Over time, looking at your client data can give you insights into who your most popular tours appeal to, where your clients come from, and how they found you.

  • Respect Data Privacy: While collecting client information is very helpful, always be mindful of privacy. Only collect information you truly need, keep it secure, and ensure you follow relevant data protection guidelines.
