How to use it

Adding a New Client

  1. From the Clients dashboard, look for the Add New Client button.

  2. Click the Add New Client button.

  3. Fill in the form with the client's details:

  • First Name and Last Name: Essential for personalising your interactions.

  • Email Address: Super important for sending confirmations and updates.

  • Phone Number: Great for quick communication.

  • Address: Useful for any postal needs or understanding location.

  • Notes: Use this section to jot down anything special – perhaps they mentioned it's their first time visiting Australia, or they have a particular interest in local wildlife.

  1. Click the Save Client button at the bottom of the form.

Viewing and Editing Client Details

  1. From your Clients dashboard, you'll see a list of all your clients.

  2. Find the client whose details you want to view or edit. You can use the search bar at the top if your list is a bit long.

  3. Click on their Name in the list. This will take you to their individual client profile page.

  4. To make changes, look for an Edit button (it might look like a pencil icon). Click on it.

  5. The client's details form will reappear, allowing you to update any information.

  6. After making your changes, remember to click Save Changes to update their profile.

Searching and Filtering Clients

  1. On the main Clients dashboard, you'll notice a Search Bar usually at the top of the list.

  2. Start typing a client's name, email, or even part of their phone number into the search bar. The list will automatically filter to show you matching clients.

  3. You might also see Filter options (sometimes represented by a funnel icon). Clicking this could allow you to filter clients by things like booking status, lead source, or even custom tags you've created.

Tips

  • Be diligent with data entry. The more complete and accurate your client profiles are, the more valuable this tool becomes. Try to fill in as much information as possible when you add a new client.

  • Use the 'Notes' Section generously. This is gold! Did a client mention they're celebrating a birthday next month? Note it down! Did they give specific feedback about a tour? Record it! These details allow you to offer truly memorable and personalised service that sets you apart.

  • Update profiles regularly. Life changes, and so do client details or preferences. Make it a habit to quickly update a client's profile if you learn new information during an interaction.

  • Segment for special offers. Use the categorisation and tagging features to group clients. For example, create a "Repeat Guests" tag and send them an exclusive offer, or a "Families" tag for family-friendly promotions. This targeted approach is much more effective!

  • Connect to your marketing. Use the insights from your client profiles to inform your marketing strategies. If many clients are interested in wildlife tours, you know where to focus your promotional efforts!

  • Review your client list periodically. Take some time every quarter to browse through your client list. It can spark ideas for re-engaging past guests or identifying trends you might have missed.

  • Encourage feedback. Use your client interactions to gently ask for feedback, which you can then add to their profile (if relevant) to improve future experiences for them and others.
