We know that running a tourism business means juggling a lot, and keeping track of every guest's unique preferences or past interactions can be tricky. That's where Client Notes come in! They're super simple to use and incredibly powerful for personalising your service and building lasting relationships.

Let me show you how easy it is to add notes to your clients and why it'll become one of your favourite tools!


What This Does

Imagine being able to recall that Sarah from Sydney prefers a window seat on her tours, or that the Miller family celebrated their anniversary with you last year and might appreciate a special mention this time. That's exactly what Client Notes help you do!

This feature lets you jot down important details, preferences, special requests, or even memorable moments about your individual clients right within their profile in Tourism Accelerator. It's like having a dedicated memory bank for each guest. This means you and your team can always provide a truly personalised and thoughtful experience, making your guests feel extra special and ensuring they have the best possible time with you. It helps you build stronger connections, encourage repeat visits, and even gather valuable insights for future offerings.

How to Get There

Don't worry, it's really straightforward to find where you can add these helpful notes.

Here's how to navigate to a client's profile where you can start adding notes:

  1. From your Tourism Accelerator dashboard, look for the main navigation menu on the left-hand side of your screen.

  2. Click on Clients. This will take you to your list of all your wonderful guests.

  3. You'll see a list of your clients. Find the client you want to add a note for (you can use the search bar if you have many clients!).

  4. Click on the client's Name to open their individual profile page.

Once you're on their client profile page, you're in the right spot! You'll usually see different tabs or sections like 'Bookings', 'Contact Details', and 'Notes'.

Step-by-Step Guide

Now that you're on the client's profile page, let's add your first note! It's a quick and easy process.

  1. On the client's profile page, look for the Notes section or tab. It's often clearly labelled, sometimes with a little notepad icon. Click on it.

  2. You'll then see an option to Add New Note or a field that says "Enter your note here...". Click on this or start typing directly into the field.

  3. A text box will appear. This is your canvas! Type in all the important details you want to remember about this client. For example: "Loves early morning wildlife tours," "Celebrated 10th anniversary on last visit," "Has a dietary requirement for gluten-free meals," or "Recommended by Sarah J."

  4. Once you've finished typing your note, click the Save Note or Add Note button. This button is usually located right below the text box.

And that's it! Your note is now securely saved to that client's profile. You'll see it listed in the Notes section, often with a timestamp showing when it was added, so you can keep track.

What You Can Do

Once you've mastered adding notes, you'll find they're incredibly versatile!

With Client Notes, you can:

  • Add New Notes: As we just learned, you can create new notes for any client at any time.

  • View All Notes: Easily see a chronological list of all notes associated with a specific client, giving you a full history at a glance.

  • Edit Existing Notes: Made a typo? Or perhaps a client's preference has changed? You can go back and edit any note you've added. Just look for an 'Edit' icon (often a small pencil) next to the note.

  • Delete Notes: If a note is no longer relevant, you can remove it from the client's profile. Be careful with this one, as deleted notes can't usually be recovered!

  • Search and Filter (Coming Soon!): While not available in all versions right now, we're always working to improve. Imagine being able to search through notes for specific keywords or filter them by date – exciting, right? Keep an eye out for updates!

Tips to Get the Most Out of This

To really make Client Notes shine for your tourism business, here are a few friendly tips:

  • Be Specific and Concise: Jot down clear, brief points. Instead of "They liked the food," try "Favourite dish was the local Barramundi, mentioned they'd seek it out again."

  • Focus on Actionable Details: What information will help you or your team provide better service? Dietary needs, preferred activities, special occasions, or even just a fun fact you discussed.

  • Use It Consistently: Encourage everyone on your team who interacts with clients to add notes. The more information you gather, the richer your client profiles become.

  • Update Regularly: Client preferences can change! If a guest mentions something new, update their notes.

  • Personalise Follow-ups: Use notes to jog your memory for personalised emails, phone calls, or even in-person greetings. "Welcome back, it's great to see you again. I remember you enjoyed the local history tour last time!"

  • Identify Trends: Over time, reviewing notes across different clients might reveal popular requests or common feedback, helping you refine your offerings.

  • Respect Privacy: Always be mindful of the type of information you're recording, ensuring it's relevant to their experience with your business and respects their privacy.
