The proposal list provides a central location to track submitted proposals. Tourism operators can use this feature to monitor proposal status, manage leads, and act quickly when a proposal is accepted, ensuring no opportunities are missed.
Accessing this feature
Log in to your Tourism Accelerator account.
Go to Proposals in the main navigation menu.
How to use it
Once you've clicked Proposals, you'll land on a page that displays a table or list of all your submitted proposals. Here's what you'll typically see in this overview:
Proposal Name: A unique name or title for each proposal.
Client Name: The name of the person or organisation you sent the proposal to.
Date Sent: When you first sent the proposal.
Expiration Date: If your proposal has an expiration date, you'll see it here.
Status: This tells you if the proposal is 'Pending', 'Accepted', 'Rejected', 'Expired', or 'Draft'.
Total Value: The estimated total value of the proposal.
At the top of your proposals list, you might notice some options to help you organise what you see. You can often filter your proposals by their status (e.g., only show 'Pending' ones), by client name, or by a date range.
You can also usually sort the list by clicking on the column headers β for example, click "Date Sent" to see your newest or oldest proposals first.
To dive deeper into any specific proposal, click on its name in the list. This will open up the full details of that particular proposal, including:
The complete itinerary or list of services.
Detailed pricing breakdown.
Any specific terms and conditions you included.
Client contact information.
A history of any updates or notes related to that proposal.
Tips
Check Regularly: Make it a habit to pop into your Proposals section a few times a week. This ensures you catch any status changes quickly and can respond promptly.
Prioritise Your Follow-ups: Use the Status and Expiration Date filters to identify proposals that are 'Pending' or nearing their expiration. A friendly follow-up can often turn a pending proposal into an accepted booking!
Analyse Trends: Over time, look at which types of proposals get accepted most often. This can give you valuable insights into what your guests love and help you refine your offerings for future success.
Keep Client Communication Clear: If a proposal is accepted, make sure to mark it as such (if your system allows, otherwise make a note) and follow up immediately with your client to confirm details and next steps.
If a proposal is rejected, take it as a learning opportunity. Did you offer the right package? Was the pricing competitive? Every bit of feedback helps you grow.
