The Proposal Creation feature allows you to draft professional, personalised documents for potential clients. This helps tourism operators streamline their sales process and present their offerings in a polished, branded format, leading to increased bookings. For example, create a custom proposal for a corporate retreat, outlining services, pricing, and itinerary details in one document.
Accessing this feature
Go to Proposals
How to use it
Start a New Proposal
Go to Proposals.
Click the New button. A new screen will appear, ready for you to begin crafting your proposal.
Choose Your Client
You'll see a field to Select Client. If your client is already in your Tourism Accelerator contact list, start typing their name, and the system will help you find them.
Click on their name to select them.
If it's a brand new client, click the + New Client option.
You'll then see a form where you can add their name, email address, and other contact details.
Once you've filled that in, click Add Client.
Give Your Proposal a Name
You'll need to give your proposal a clear and descriptive title in the Proposal Name field.
For example: "Adventure Tour Package for Smith Family" or "Corporate Retreat Proposal for Outback Experiences Pty Ltd".
Set Important Dates (Optional)
You might see fields for Valid From and Valid Until.
This is useful for setting an expiry date for your proposal. If you don't want to set one, you can leave it blank.
Add Your Products and Services
Look for a section like Add Items or Add Products/Services.
You can choose to add:
Existing Experiences/Tours: Start typing the name of a tour, activity, or package you've already set up in Tourism Accelerator. Select it from the list. You'll then be able to adjust quantities, dates, and add a custom description for this specific proposal.
Custom Items: Need to add something unique that isn't a standard experience? Maybe a special discount, an extra service, or a unique welcome gift? Click Add Custom Item (or similar) and you can add a description, quantity, and price for that item.
As you add items, you'll see the total cost update automatically.
Customise Your Proposal Message
You'll find a section for a Welcome Message or Introduction.
Add a personal touch by writing a friendly greeting and reiterate your understanding of their needs.
You might also find a section for Terms & Conditions or Notes. Include any important details here that your client needs to know.
Review and Preview Your Proposal
Before sending, it's always a good idea to preview what your client will see!
Look for a Preview button. This will open a draft of your proposal, so you can check everything looks perfect, from the wording to the pricing.
Save and Send!
Once you're happy with everything, you have a couple of options:
Click Save Draft if you want to come back to it later.
Click Send Proposal (or a similar button) to send it directly to your client's email address. The system will send an email with a link to their unique proposal.
Tips
Personalise each proposal by adding a personal greeting and mention something specific about their inquiry.
Keep the core information (what they're getting and how much it costs) easy to find and understand.
Use compelling descriptions to describe the amazing experience they'll have.
Follow up with a gentle email a few days later if you haven't heard back.
Showcase your brand by ensuring your logo and branding are consistent with your website and other materials.
Highlight the value, not just the price, by reminding clients of the unique benefits and unforgettable memories they'll gain by choosing your business.
Be timely by sending proposals as quickly as possible after an inquiry.
