What This Does
Imagine you've had a wonderful chat with a potential client – maybe they're planning a family holiday, a corporate retreat, or a special adventure. You've discussed their needs, and now it's time to put all those exciting ideas into a clear, attractive offer. That's exactly what our "Send Proposals" feature helps you do!
This tool lets you create beautiful, personalised proposals that you can send directly to your clients. It's like sending them a custom brochure just for them, outlining all the amazing experiences and services you're offering, along with the pricing. This makes your tourism business look super professional, helps your clients understand exactly what they're getting, and makes it easier for them to say "Yes!" to their next unforgettable trip with you. It really streamlines the process of turning interested people into happy customers.
How to Get There
Getting to the proposals section is a breeze! Let me show you how:
First things first, make sure you're logged into your Tourism Accelerator account.
Once you're on your main Dashboard, look over to the left-hand side of your screen.
You'll see a menu there. Click on Clients.
A sub-menu will appear. From there, simply click on Proposals.
And voilà! You'll be right where you need to be to start creating and sending your fantastic offers.
Step-by-Step Guide
Alright, let's get into the fun part – creating your first proposal! We'll go through it together.
Start a New Proposal:
Once you're on the Proposals page, you'll see a button, usually in the top right-hand corner, labelled + Create New Proposal. Go ahead and click that to begin.Choose Your Client:
The system will first ask you which client this proposal is for. You'll see a drop-down menu or a search bar. Start typing your client's name, and if they're already in your system, select them. If they're a brand new client, don't fret! You'll usually see an option like + Add New Client right there. Click that, pop in their essential details (like name and email address), and then select them.Give Your Proposal a Title:
Next, you'll need to give your proposal a clear and inviting title. Something like "Adventure Tour for the Smith Family" or "Corporate Retreat Proposal for Ocean View Hotel" works perfectly. This helps both you and your client keep track of what it's all about.Add Your Fantastic Offerings:
This is where you bring your services to life! You'll typically see a section to Add Service or Add Package.Click this button.
You'll then be able to select from the services or packages you've already set up in Tourism Accelerator.
For each item you add, you can usually adjust the quantity, the price (if it's flexible), and even add a short, compelling description specific to this client. Maybe you're offering an exclusive add-on or a special discount – you can highlight it here!
You can add as many services or packages as needed to build the perfect itinerary.
Customise the Details:
Below your service list, you'll likely find areas to:Set Dates: Specify the proposed travel dates or the timeframe the offer is valid for.
Add Notes or Special Instructions: This is a great place to include any essential information, terms, or personal messages like, "We're so excited to help you discover the magic of the Daintree Rainforest!"
Upload Supporting Documents (Optional): If you have a specific itinerary PDF, a map, or any other document that would enhance your proposal, you might see an option to upload it here.
Review Your Proposal:
Before sending, it's always a great idea to take a moment and review everything. You'll usually see a Preview button. Click this to see exactly what your client will see. Check for any typos, make sure all the prices are correct, and ensure it looks appealing. This step is super important for professionalism!Send It Off!
Happy with everything? Fantastic! You'll find a prominent button, often labelled Send Proposal or Email Proposal. Click that, and your personalised offer will be winging its way to your client's inbox. You'll usually get a confirmation message letting you know it's been sent successfully. What Happens Next?
Once sent, your proposal's status will update. You'll be able to see if it's been 'Sent', 'Viewed' by the client, and eventually, hopefully, 'Accepted'! This tracking is really handy for your follow-up efforts.
See? It's not so tricky when we break it down. You're doing great!
What You Can Do
With the "Send Proposals" feature, you've got a lot of power at your fingertips to connect with your clients:
Create Tailored Offers: Easily put together custom proposals for each client, highlighting the services and experiences most relevant to them.
Include Multiple Services & Packages: Combine different tours, accommodations, activities, and extras into one comprehensive proposal.
Set Clear Pricing: Clearly outline the costs for each item and the total, making it easy for clients to understand their investment.
Add Personal Touches: Include specific notes and messages that make your client feel special and understood.
Track Proposal Status: See when your proposals have been sent, viewed, and accepted (or declined), so you always know where things stand.
Send Reminders: Gently nudge clients who haven't yet responded, ensuring your proposal doesn't get lost in their inbox.
Maintain Professionalism: Present your services in a polished, organised format that builds trust and confidence in your brand.
Tips to Get the Most Out of This
To really shine with your proposals and help your tourism business thrive, here are a few friendly tips:
Personalise, Personalise, Personalise! Even if you're using templates (which is smart!), always add a personal message. Refer to something specific you discussed with the client. It shows you were listening and that you value their unique needs.
Keep It Clear and Concise: While you want to be thorough, avoid overwhelming your client with too much text. Use bullet points for inclusions, clear headings, and let your amazing images (if your proposals support them) do some of the talking.
Highlight the Benefits: Instead of just listing features ("This includes a guided tour"), explain the benefit ("Enjoy a fully guided tour, giving you insider knowledge and a stress-free experience!"). How will this experience make their trip better?
