Track your time and generate invoices for your services. This feature helps you log time spent on client projects, such as planning tours or creating itineraries, and accurately charge for your services. This simplifies administrative tasks and improves cash flow.

Accessing this feature

Go to Finances > Time & Billing

How to use it

Tracking Your Time

  1. From the Time & Billing section, click + New Time Entry.

  2. Fill in the details of your work in the form that appears:

  • Date: Choose the date from the calendar.

  • Client: Select the client or project from the dropdown list.

  • Project/Service: Specify the tour, activity, or service (e.g., "Whale Watching Tour Prep," "Social Media Campaign for Winter Getaways," or "Custom Itinerary for Smith Family").

  • Description: Add a quick note about the work done.

  • Duration: Enter the time taken in hours and minutes (e.g., "1h 30m").

  • Billable: Tick the box if you want to charge the client for this time.

  1. Click the Save button.

  2. Repeat this process for all your tasks.

Creating an Invoice from Your Tracked Time

  1. From the Time & Billing section, click Create Invoice or Generate Invoice.

  2. Select the Client you're invoicing from the dropdown list.

  3. Choose the Date Range for the time entries you want to include.

  4. Review the unbilled time entries that appear. Tick or untick the ones you want to include on this invoice.

  5. To add other items (e.g., travel expenses, a fixed package fee, or a discount), look for an Add Item button (or similar) and include them. Specify the item, quantity, and price.

  6. Click Review Invoice (or a similar button) to see a draft of the invoice.

  7. Click Finalise & Send (or Save if you want to send it later from your Invoices section).

Tips

  • Log time for specific clients, projects, or services easily.

  • Mark time entries as either billable or non-billable.
