How to use it

Assigning a Task

  1. Go to Tasks.

  2. To create a new task, click the Create New Task button. To assign an existing task, click the task name.

  3. Enter the task details. Fields include:

  • Task Name: A clear title for the job (for example, "Update Opening Hours on Google My Business").

  • Description: Add details about what needs to be done (for example, "Check current hours, ensure they match the website, and add any special holiday hours").

  • Due Date: When the task needs to be finished. Select a date from the calendar.

  1. Locate the 'Assign to' field. This is a dropdown menu.

  2. Select the team member from the list.

Note: Only team members added to your account are listed.

  1. Add a priority level to indicate urgency. Use tags or categories to organise similar tasks.

  2. After entering all details, scroll to the bottom of the form. Click the Save Task or Create Task button. This button is clearly visible.

The task is now assigned and visible to the team member. The team member may receive a notification.

With the 'Assign Tasks' feature, you can build a more organised and efficient team. Here are some of the things you can do:

  • Delegate responsibilities: Everyone knows what's expected.

  • Enhance accountability: It's easy to see who is responsible for each task.

  • Monitor task progress: Having tasks assigned is the first step to tracking their completion.

  • Promote teamwork: Collaboration becomes smoother when everyone's roles are clear.

  • Establish deadlines: Meet deadlines by setting due dates.

  • Avoid missed tasks: Prevent important details from being overlooked.

  • Optimise workflow: Focus on guest experience by reducing time spent on task management.

Tips

  • Use specific task names: For example, use 'Draft Social Media Posts for July Promo' instead of 'Marketing'. Clear names improve team understanding.

  • Provide detailed descriptions: Include all necessary information for task completion. Link relevant documents and explain the desired outcome.

  • Set realistic due dates: Realistic due dates help with prioritisation and timely completion.

  • Divide large projects: For example, break down 'Launch New Tour Package' into smaller tasks like 'Research Tour Route'. Assign individual tasks to team members.

  • Communicate effectively: Communicate with team members to ensure understanding and readiness.

  • Regularly review tasks: Regularly check the task list to monitor progress and provide support.

  • Encourage team participation: Encourage team members to update task status for real-time overview and involvement.
