Action Plan Management allows you to build custom plans, step-by-step, for your tourism business. This feature helps you break down large goals, such as launching a new tour package or revamping your marketing strategy, into smaller, manageable tasks.

How to use it

Start a New Plan

  1. Once you're on the Action Plans page, click Create New Action Plan.

  2. A pop-up window will appear asking for some details. First, give your Action Plan a clear, descriptive name. Something like "Summer Marketing Push 2024," "New Outback Tour Launch," or "Website Refresh Project" works perfectly. This helps you quickly understand what the plan is all about.

  3. Below the name, you'll find a space for a 'Description'. This is where you can add a bit more detail about the plan's overall objective. For example, "This plan outlines all the steps needed to promote our new summer packages across social media and email." It's a great way to remind yourself (and any team members) of the bigger picture.

  4. You'll see fields for 'Start Date' and 'End Date'. While optional, setting these helps you define the timeframe for your plan. It keeps you accountable and gives you a clear timeline to work towards. Just click on the date fields, and a handy calendar will pop up for you to choose.

Add Sections

  1. Most big projects have different stages or categories. We call these 'Sections'. For example, if you're launching a new tour, your sections might be "Research & Development," "Pricing & Partnerships," "Marketing & Promotion," and "Launch & Feedback."

  2. To add a section, click the Add Section button.

  3. Give your section a name (e.g., "Marketing Activities"). You can add as many sections as you need to logically group your tasks.

Adding Tasks to Your Sections

  1. Within each section, you'll add the individual tasks that need to be completed. Under each section name, you'll see an Add Task button. Click it!

  2. Give your task a clear, actionable name (e.g., "Write social media posts for Facebook," "Contact local suppliers," "Update booking calendar").

  3. If a task needs more explanation, use the description field to add details.

  4. If you have team members, you can assign the task to a specific person from a dropdown list. This ensures everyone knows their responsibilities. If it's just you, you can assign it to yourself!

  5. Pick a due date for the task. This is super important for keeping things moving!

  6. You can set the status of the task as 'Not Started', 'In Progress', or 'Completed'. This helps you track progress at a glance.

Rearrange and Organise

  1. If you change your mind, you can easily drag and drop sections or tasks to reorder them within your plan.

  2. Click and hold the little handle icon next to the section or task name and move it where you want it to go.

Save Your Plan

  1. Once you're happy with your plan, make sure to click the Save button. Your plan will now be saved and visible on your main Action Plans page. You can always come back and edit it later!

  • Clearly assign tasks to yourself or specific team members, ensuring everyone knows what they need to do.

  • Attach due dates to every task to keep your projects on schedule and avoid last-minute rushes.

  • Monitor the status of each task (Not Started, In Progress, Completed) to get a quick overview of your plan's advancement.

  • Include descriptions and additional information for tasks, making sure nothing is overlooked.

  • Group tasks into custom sections or stages, providing a clear and structured flow for your projects.

  • Save time by duplicating existing plans or sections to use as templates for similar future projects.

  • View all your active and completed action plans in one easy-to-access location.

Tips

  • Start Simple: Don't feel like you need to map out your entire year in one go! Start with a smaller project or just one key goal you want to achieve this month. You can always add more later.

  • Be Specific with Tasks: Instead of a vague task like "Do marketing," try "Schedule 3 Instagram posts for new tour" or "Write email newsletter about winter deals." Specific tasks are much easier to complete!

  • Review Regularly: Make it a habit to check your Action Plans at the start of each week. What's due? What's been completed? This helps you stay proactive and adjust if needed.

  • Involve Your Team: If you have a team, get them involved in creating and tracking tasks.

  • Link to Your Bigger Goals: Always think about how each Action Plan contributes to your overall business goals. This keeps you focused on what matters.
