How to use it

  1. Find Your SOP: First, go to your SOPs library.

  2. Select the SOP: From your list, click on the title of the specific SOP you want to share. This will open up the SOP's details page.

  3. Click the Share Button: On this page, you'll see a prominent Share button.

  4. Choose Who to Share With: A small window will pop up, asking you who you'd like to share this SOP with. You'll usually have a few options:

  • Individual Team Members: Start typing a team member's name, and our system will help you find them. You can select one or many!

  • Specific Teams/Departments: If you've organised your team into groups (like 'Tour Guides', 'Reception Staff', or 'Cleaning Crew'), you can select an entire group to share with at once. This saves so much time!

  • Public Link (Optional): Sometimes, you might have the option to generate a 'view-only' link. Be careful with this one, as anyone with the link could view the SOP. It's usually best for internal team sharing. REQUIRES_DEVELOPER_INPUT: Verify if this option exists.

  1. Set Permissions (if available): For SOPs, sharing usually means giving your team 'view-only' access, which is perfect! This means they can read and follow the instructions, but they can't accidentally change your carefully crafted procedures. If there are other options, like 'allow comments', you can choose those too. REQUIRES_DEVELOPER_INPUT: Verify if these options exist.

  2. Add a Quick Message (Optional): You might see a little box where you can type a short message to your team. Something like, "Hey team, just sharing our updated check-in procedure! Please take a moment to review it."

  3. Confirm and Send: Once you're happy with your selections, click the Send or Share SOP button. And just like that, your SOP is sent to your team members!

Your team members will typically receive a notification within the Tourism Accelerator platform, or sometimes an email, letting them know a new SOP has been shared with them and providing a direct link to view it. Easy!

Tips

With this sharing feature, you'll be able to:

  • Share any single SOP with specific individual team members, ensuring they have exactly the right information for their role.

  • Distribute SOPs to entire teams or departments at once, making sure everyone in a particular group is on the same page without extra effort from you.

  • Ensure everyone is always working from the most current version of a procedure, eliminating outdated printouts or confusion about which guide is the correct one!

  • Minimise reliance on spoken instructions. Your team will have a reliable written reference point.

  • Track who has access to which SOP, giving you clear oversight and control over your operational knowledge.

To really supercharge your operations and make your team feel excellent, here are a few tips for using your SOPs and the sharing feature:

  • Keep Your SOPs Very Clear: Use simple language, short sentences, and bullet points. If possible, add photographs or even short videos to illustrate key steps.
