The SOP Version History feature tracks all changes made to your Standard Operating Procedures (SOPs). This helps tourism operators maintain consistent processes, ensuring all team members use the most up-to-date procedures, which reduces errors and improves service quality.

How to use it

Viewing Past Versions

  1. Go to the specific SOP you're interested in.

  2. Click on the Version History tab or button.

  3. You'll see a list of all previous versions of your SOP. Each entry shows:

  • Version Number: Like v1, v2, v3, etc.

  • Date & Time: When the change was saved.

  • Author: The team member who made the change.

  • Notes: Any comments added about the update.

  1. To see what an older version looked like, click on the View or Details button next to any version in the list. This opens that specific historical version for you to review.

Creating a New Version (When Updating an SOP)

  1. Open the SOP you wish to update and click the Edit button.

  2. Make your changes to the SOP content.

  3. Before you click Save, look for a field or pop-up that says something like Version Notes or Reason for Change.

  4. Add a brief, clear note about what you've updated. For example: "Updated check-in times for peak season," or "Added new safety instructions for kayaking tour."

  5. Once you've added your note, click the Save New Version or Update SOP button. Your changes are now saved as a brand new version, and your note is there for everyone to see in the Version History.

Restoring a Previous Version (If You Need to Go Back)

  1. Go to the Version History for the SOP.

  2. Browse the list of versions and find the one you want to bring back.

  3. Next to that version, you'll see a Restore or Make Current button. Click it.

  4. The system will likely ask you to confirm if you want to restore this version. Confirm. The selected older version will become the current active SOP, and a new entry will be added to the Version History, noting that a previous version was restored.

Tips

  • Always Add a Clear Note: When you save a new version, take a moment to write a clear note about the changes. Your future self, and your team, will thank you for it! For example, instead of "fixed stuff," try "Updated contact number for emergency services & added new guide roster policy."

  • Encourage Team Collaboration: Make sure all your team members who edit SOPs understand the importance of version control and how to use the notes feature. Consistency in notes helps everyone.

  • Schedule Regular Reviews: Set a reminder to review your key SOPs regularly (e.g., quarterly or annually). This helps make sure they stay relevant and up-to-date with your evolving business and industry standards.

  • Train New Staff with Confidence: When training new team members, you can be confident that the SOPs they're learning are the most current and approved versions.

  • Demonstrate Your Expertise: If you ever need to demonstrate your operational processes for accreditation or compliance, your detailed tracked SOPs will show just how organised and professional your tourism business is.

  • Use it for Continuous Improvement: By looking back at past versions, you can reflect on how processes have evolved and identify areas for further improvement.
