Accessing this feature

Go to Itineraries > Templates

How to use it

Creating a Brand New Template

  1. On the Itinerary Templates page, click + Create New Template.

  2. A pop-up will appear asking for your template's name. Choose something clear and descriptive, like "Half-Day City Highlights Tour" or "3-Day Outback Adventure".

  3. Click Continue.

  4. You'll now be taken to the itinerary builder. Add all your tour details:

  5. Click + Add Activity and add your standard tour stops, experiences, and timings.

  6. Use the "Notes" sections to add standard inclusions, what guests should bring, or general information that applies to this tour type.

  7. If there's information that changes per guest (like "Guest Name" or "Arrival Date"), you can type a placeholder like [Guest Name] or [Start Date]. You'll fill these in when you use the template for a specific booking!

  8. Once you've added all the core elements, remember to click the Save Template button (you'll usually find this at the top right or bottom of the page).

Turning an Existing Itinerary into a Template

  1. Go to your main Itineraries list.

  2. Find the itinerary you want to convert.

  3. Click on the itinerary to open it.

  4. Once inside, you'll see an option, usually near the Save or Export buttons, that says Save as Template or an icon to "Duplicate as Template".

  5. Give your new template a clear, descriptive name.

  6. Click Save: Your existing itinerary is now saved as a reusable template.

Using a Template for a New Itinerary

  1. From your main Itineraries page, click + Create New Itinerary.

  2. Select Start from Template.

  3. Select the template you want to use for this particular booking.

  4. The template will load, and now you can:

  • Replace your [Guest Name] placeholders with their name.

  • Adjust dates and times if needed.

  • Add any specific notes or extra activities.

  • Remove anything that isn't relevant to this booking.

  1. Once you've made your personalised adjustments, click Save (this will save it as a new, unique itinerary, leaving your original template untouched).

Tips

  • Create templates for different durations (e.g., "Morning Adventure Template," "Afternoon Chill Template," "Full Day Classic Tour").

  • Give your templates names that instantly tell you what they are for. For example, "Wine Tour - Full Day," "Hiking Trip - 3 Day Advanced".

  • Include internal notes within the template to remind your team about specific booking requirements, supplier contacts, or unique instructions for that tour type.

  • Review and update regularly. Set a reminder to review your templates every few months, or whenever you make changes to a tour, to ensure they're always up-to-date.

  • Use [ ] for anything that will change.

  • If your tours vary significantly by season (e.g., summer vs. winter activities), create separate templates for each season.
