What This Does
Think of this feature as your handy little black book for all the amazing people and businesses you work with to run your tours and activities. Whether it's a fantastic local bus company, a charming B&B, a brilliant tour guide, or even someone who supplies your favourite local snacks for your guests β you can add them all here!
By adding your contractors, you'll have all their important details organised in one easy-to-find place. This means you can quickly look up their contact information, understand their services, and keep track of everything you need for smooth operations. It helps you manage your bookings, make sure payments are sorted, and keep communication clear and easy. Ultimately, it frees up your time so you can focus on creating unforgettable experiences for your guests!
How to Get There
Let me show you how to find your way to the Contractors section. It's super straightforward!
First, make sure you're logged into your Tourism Accelerator account.
Once you're on your main Dashboard, look for the main menu on the left-hand side of your screen.
Click on Operations. This is where you'll find all the tools to keep your business running smoothly.
From the dropdown menu that appears, simply select Contractors.
Here's what you'll see: a list of any contractors you've already added, or a nice empty space waiting for your first entry!
Step-by-Step Guide
Ready to add your first contractor? Fantastic! Let's do this together.
Click the 'Add New Contractor' Button: Once you're on the Contractors page, you'll see a prominent button, usually in the top right corner, that says + Add New Contractor. Give that a friendly click!
Fill in the Contractor Details: You'll now see a form appear. This is where we'll pop in all the important information about your contractor. Take your time, and don't worry, you can always come back and edit things later if you need to!
Contractor Name: This is usually the name of the business or the individual you're working with (e.g., "Coastal Adventures Bus Service," "Sarah's Guided Walks").
Contact Person: Who should you speak to at this contractor's business? Pop their name in here.
Email Address: This is super important for sending booking confirmations, updates, or asking quick questions. Make sure it's correct!
Phone Number: Another vital piece of contact info, especially for those last-minute changes or urgent calls.
ABN (Australian Business Number): For our Aussie businesses, including the ABN helps with invoicing, tax, and keeping your records tidy.
Address: If they have a physical address you need to know, pop it in here.
Service Type: This is a helpful one! You can select or type in what kind of service they provide (e.g., Transport, Accommodation, Tour Guide, Catering, Equipment Hire). This helps you quickly categorise and find them later.
Notes / Internal Memo: This is your secret weapon! Use this section to add any special details you want to remember. Perhaps they prefer emails over phone calls, have specific availability, or offer a special discount to you. It's a great spot for those little reminders that make a big difference.
Review and Save: Once you've filled in all the details, take a quick look over everything to make sure it's accurate. Happy with it? Great! Now, simply click the Save button, usually at the bottom of the form.
And that's it! Your contractor is now added to your Tourism Accelerator account. See, I told you it was simple! You'll see them appear in your list of contractors, ready for you to manage.
What You Can Do
Now that you've got your contractors added, here's a taste of what you can do to make your life easier:
Quickly Access Information: All your contractor's contact details, ABN, and service type are just a click away. No more scrambling through spreadsheets or old emails!
Keep Notes Handy: Remember those special notes you added? They're always there for you to refer to, ensuring you never miss a beat when working with a contractor.
Search and Filter: If you have lots of contractors, you can easily search for a specific name or filter by service type to find exactly who you need, fast.
Edit Details Anytime: Businesses evolve, and so do contact details! You can easily click on a contractor's name in your list to edit their information whenever needed.
Maintain a Centralised Database: This becomes your go-to hub for all external service providers, helping you stay organised and professional.
Tips to Get the Most Out of This
Here are a few friendly tips to help you really shine with your contractor management:
Keep it Current: Make it a habit to update contractor details as soon as you hear of any changes. Accurate information is your best friend!
Use the Notes Wisely: Don't underestimate the power of the "Notes / Internal Memo" section. It's fantastic for remembering little details that build great working relationships, like a contractor's preferred booking method or specific equipment they use.
Categorise Clearly: Make sure your "Service Type" is clear and consistent. This will make filtering and finding contractors much quicker when you're busy.
Think Ahead: Even if you only work with a contractor occasionally, adding them to Tourism Accelerator ensures you have their details on hand for when that unexpected booking comes in!
Review Periodically: Perhaps once a quarter, quickly skim through your contractor list to ensure all information is still relevant and up-to-date. It's a small task that saves big headaches later.
