How to use it
Start a New Payment
Once you're on the "Contractor Payments" page, you'll see a button that says Add New Payment. Click that to begin.
A window will appear asking for details. First, select the contractor you're paying. You can type their name into the "Select Contractor" field, or pick them from the list if you've worked with them before. If they're new, you can quickly add them right there by clicking Add New Contractor β just fill in their name and contact details.
Fill in the Payment Details
You'll see a few fields to fill in:
Payment Date: This is the date you're making the payment. Click on the calendar icon to pick the correct day.
Amount Paid: Enter the exact amount you're paying in Australian Dollars (AUD).
Service Provided: Briefly describe what the payment is for. For example, "Guided tour for Sunset Safari on 15/03" or "Transport for Airport Shuttle Service".
Reference (Optional): If you have an invoice number from your contractor or a specific reference for your own records, enter it here.
Payment Method: Choose how you're paying them (e.g., Bank Transfer, Credit Card, Cash).
Take a quick look over everything you've entered.
Once you're happy with all the details, click the Save Payment button at the bottom. Your payment record is now securely stored, and you'll see it appear in your list of contractor payments.
Tips
Enter payments as soon as they're made. This keeps your records accurate.
When you're filling in the "Service Provided" field, be specific! "Tour Guide Fee - Dolphin Watch Tour 01/04" is more helpful than just "Tour Guide".
Regularly check that your contractors' contact and payment information is current.
Take a few minutes each week or month to compare your recorded payments with your bank statements.
Paying your contractors accurately and on time through an organised system shows professionalism and builds trust.
Remember to also keep track of any invoices you receive from your contractors for your complete financial records.
