How to use it

Viewing Invoices and Revenue

  1. When you access the Billing Reports page, you will see a summary of your recent revenue and a summary of your latest invoices.

  2. To view your detailed invoices, look for a section or button labelled "View All Invoices" or "Invoice History" and click on it.

  3. To see a breakdown of your revenue, find a tab or section called "Revenue Overview" or "Earnings Report" and click there to see your income trends.

Filtering Reports

  1. To find specific information, use the filtering options.

  2. By Date Range: Select a dropdown or calendar icon labelled "Date Range". Choose preset periods like "Last 30 Days," "This Quarter," "Last Year," or set a "Custom Range" to pick your own start and end dates. This helps you compare performance over different periods.

  3. By Status (for Invoices): If you're looking at invoices, you might have options to filter by "Paid," "Outstanding," "Overdue," or "Cancelled." This is useful for following up payments or checking what's processed.

  4. By Type: Sometimes you might want to see reports specifically for bookings, subscriptions, or other charges. Look for a "Report Type" filter if this applies to your account.

  5. After you've selected your filters, click Apply Filters or Update Report to refresh the data.

Downloading Reports

  1. Downloading a digital copy of your reports is useful for your records or to share with your accountant.

  2. Once you've set your filters and the report is configured, look for a button that says Download, Export, or has a download icon (often an arrow pointing down).

  3. You'll typically be given a choice of format, like PDF (great for a quick overview or printing) or CSV (perfect for spreadsheets if you want to do your own analysis).

  4. Choose your preferred format, and the report will download to your device.

  • Access historical invoices: Easily retrieve any invoice from the past, whether you need to send a copy to a guest or for your own records.

  • Track your total revenue: See your earnings over a selected period, helping you understand your business's financial trajectory.

  • Monitor payment statuses: Quickly identify which invoices have been paid and which are still outstanding, helping you manage your cash flow.

  • Export data for accounting: Download detailed reports in formats like CSV that are perfect for importing into your accounting software or sharing with your bookkeeper.

  • Review payment methods: Understand how your guests are paying for your experiences, which can inform your payment options strategy.

  • Identify busy periods: By looking at revenue trends, you can identify your most profitable times of the year and plan your resources accordingly.

  • Review regularly: Aim to check your Billing Reports at least once a month. This helps you monitor your finances and identify any issues promptly.

  • Use it for budgeting: Before you make any big decisions about spending, review your revenue reports. This will give you a clear understanding of your budget and help you plan for the future.

  • Compare periods: Don't just look at one month in isolation. Use the date filters to compare your current performance to the previous month, quarter, or even last year. This is useful for understanding growth and identifying seasonal trends specific to your tourism organisation.

  • Prepare for tax time early: Instead of leaving it to the last minute, download your quarterly or annual reports ahead of time. This will help you and your accountant stay organised.

  • Identify your favourite offerings: By looking at which services or tours generate the most revenue, you can understand your most popular offerings. This insight can help you refine your offerings and marketing efforts.

  • Share with your team (if appropriate): If you have a team involved in sales or operations, sharing key revenue data can help everyone understand the business's financial goals and progress.
