Accessing this feature

Go to Reports > Scheduled Reports

How to use it

Start a New Schedule:

  1. On the Scheduled Reports page, click the + New Scheduled Report button.

  2. In the Report Name field, give your scheduled report a title, such as "Weekly Booking Summary," "Monthly Financial Overview," or "Daily Sales Report."

  3. Click the Report Type dropdown menu and select the specific report you want to schedule, such as:

  • Bookings Report

  • Sales Report

  • Financial Summary

  1. Set the report frequency:

  • Daily: For reports you need every day.

  • Weekly: Sent once a week on a day you choose.

  • Monthly: Sent once a month on a specific date.

  • Quarterly: Sent every three months.

  1. For Weekly and Monthly, pick the specific day (e.g., "Every Monday") or date (e.g., "On the 1st of each month").

  2. Pick the Time of day you'd like your report to be sent.

  3. In the Recipients field, type in the email addresses of everyone who should receive the report. Separate multiple email addresses with a comma or press Enter after each one.

  4. Use the calendar tool to pick a Start Date for when you want the scheduled reports to begin.

  5. Depending on the report type, you might see optional Filters. These allow you to fine-tune the data included in your report. For example, you might be able to filter by:

  • Booking Status: Only show "Confirmed" bookings.

  • Experience: Only show sales for a specific tour or activity.

  • Date Range: Sometimes you can specify a rolling period.

  1. Click the Save Scheduled Report button.

Tips

  • Schedule a daily sales or booking summary to arrive first thing in the morning for a quick overview of performance from the previous day or upcoming bookings for the current day.

  • Send a weekly Bookings or Sales report to your management team every Monday to keep everyone informed about weekly trends.

  • Set up a Monthly Financial Summary to go to your accountant or finance manager on the first of each month to ensure they have the latest figures for reconciliation and planning.

  • If you work with accommodation providers or other tour operators, consider scheduling a specific bookings report (filtered for their relevant experiences) to be sent to them to foster transparency and smooth collaboration.

  • Create different scheduled reports for different teams. For example, your marketing team might need a weekly report on specific experience sales, while your operations team needs a daily booking manifest.

  • If you're running a seasonal promotion or event, you can schedule reports just for that period by adjusting the start date. You can delete the schedule once the period is over.

  • Review your scheduled reports periodically. Are they still relevant? Are the right people receiving them?
