Hello there! πŸ‘‹ We're so glad you're here, and we're excited to help you make the most of your Tourism Accelerator account.

Managing your team effectively is a big part of running a successful tourism business, and we've made it super easy to ensure everyone has just the right amount of access. Let's take a look at how you can edit your team's roles and permissions – it’s simpler than you might think!

⭐ Requires: Professional, Premium, Enterprise

What This Does

Imagine your tourism business running like a well-oiled machine, where every team member knows exactly what they need to do, and they have all the tools they need – but only the tools they need! That's exactly what managing roles and permissions helps you achieve.

This feature lets you decide who on your team can see and do what inside your Tourism Accelerator platform. For example, you might have someone who handles all your bookings and needs full access to the bookings calendar. But perhaps your marketing assistant only needs to create new products and update your website content, without seeing your financial reports.

By setting up specific roles and permissions, you're not just keeping things organised; you're also adding an extra layer of security. It means you can delegate tasks with confidence, knowing that sensitive information is protected and that each team member is empowered to do their job efficiently without accidental changes to areas they shouldn't be touching. It gives you incredible peace of mind and helps your whole operation run more smoothly, allowing you to focus on what you do best – creating amazing experiences for your customers!

How to Get There

Don't worry, finding your way to the team management section is a breeze! Let me show you how to get there in just a couple of clicks:

  1. First, make sure you're logged into your Tourism Accelerator account. You'll usually land on your main Dashboard.

  2. Look for the navigation menu, usually on the left-hand side of your screen. You'll see a few options there.

  3. Click on Settings. This is where all the important behind-the-scenes magic happens!

  4. Once you're in the Settings area, you'll see a few sub-options. Go ahead and click on Team Management.

And there you have it! You'll now be on the page that shows you a list of all your current team members. It’s a bit like your team's roster, where you can see everyone who has access to your Tourism Accelerator account. From here, you’ll be able to make any adjustments you need.

Step-by-Step Guide

Ready to make some changes? Fantastic! Let's walk through how to edit roles and permissions for one of your team members. We'll go nice and slow, so you don't miss a thing.

  1. Find Your Team Member: On the Team Management page, you'll see a list of all the wonderful people on your team who have access to your Tourism Accelerator account. Scroll through until you find the team member whose permissions you'd like to adjust.

  2. Click the Edit Button: Next to each team member's name, you'll usually see an Edit button (it might look like a little pencil icon, or just say "Edit"). Go ahead and click on that button for the person you want to update.

  3. Explore Their Current Setup: Once you click "Edit", a new window or page will pop up. Here, you'll see all the details for that team member, including their name, email, and – most importantly – their current Role and a list of all the Permissions they have.

  4. Change Their Role (Optional): If you want to change their overall role (for example, from an "Editor" to an "Administrator" or vice versa), look for a dropdown menu labelled Role. Click on it, and you'll see a list of pre-defined roles. Select the new role that best suits their responsibilities. Don't worry if you're not sure which role is best; you can always adjust individual permissions afterwards!

  5. Adjust Specific Permissions: Below the role selection, you'll see a list of individual permissions. These are usually organised by different sections of the platform, like "Bookings," "Products," "Marketing," and "Reports."

    • Each permission will have a checkbox next to it.

    • If the box is ticked, it means they have that permission.

    • If the box is unticked, it means they do not have that permission.

    • Simply click on the checkboxes to add or remove access to specific features. For instance, if you want them to be able to "Manage Bookings" but not "View Financial Reports," you'd tick the first and untick the second.

  6. Review Your Changes: Before you save, quickly look over all the changes you've made. Does it all look correct? Are they getting exactly the access they need, and nothing more?

  7. Click Save: Once you're happy with everything, find the Save or Update button (usually at the bottom of the window or page) and click it.

And that's it! You've successfully updated your team member's roles and permissions. You'll see a confirmation message, and then you'll be taken back to your Team Management page. See? We told you it was simple!

What You Can Do

With this handy feature, you gain a lot of control and flexibility over how your team interacts with your Tourism Accelerator platform. Here are some of the fantastic things you can do:

  • Change a Team Member's Role: Easily switch someone from a less powerful role (like an Editor) to a more powerful one (like an Administrator), or vice versa, with just a few clicks.

  • Grant or Revoke Access to Specific Modules: You can precisely control whether a team member can access sections like your booking calendar, product listings, marketing tools, or detailed reports.

  • Customise Permissions for Unique Needs: Beyond pre-set roles, you can fine-tune individual permissions to create a tailored access profile for any team member, ensuring they only see and interact with what's relevant to their job.

  • Enhance Data Security: By limiting access to sensitive areas, you significantly reduce the risk of accidental data loss or unauthorised viewing of confidential information.

  • Update Permissions as Responsibilities Evolve: As your team grows and roles change, you can quickly adjust permissions to match new responsibilities, keeping your operations agile and efficient.

  • Delegate with Confidence: Empower your team to manage their specific tasks without needing your constant oversight for every small action, knowing they are operating within safe boundaries.

Tips to Get the Most Out of This

To really make this feature shine for your tourism business, here are a few friendly tips from us:

  • Regular Review is Key: Your team and business are always growing and changing, right? It's a great idea to review your team's roles and permissions every few months, or whenever someone's job description changes. This ensures everything stays up-to-date and secure.

  • Principle of Least Privilege: This is a fancy way of saying "give only the access needed for their job." Think about what each person absolutely needs to do their work effectively, and grant just those permissions. It's the best way to keep your data safe!

  • Start with Pre-set Roles, Then Customise: Our pre-defined roles (like Administrator, Editor, Viewer) are a fantastic starting point. They cover most common scenarios. If a role doesn't quite fit, that's okay! You can use it as a base and then tick or untick individual permissions to tailor it perfectly.

  • Communicate with Your Team: If you're making changes to someone's access, have a quick chat with them. Explain why the changes are being made and how it will help them (or the business). Transparency is always appreciated!

  • Think About Your Business Growth: As you plan to expand your team or add new services, consider what new roles and permissions you might need down the track. Setting up flexible roles now can save you time later.

  • Don't Be Afraid to Adjust: If you make a change and realise it's not quite right, that's perfectly fine! You can always go back and adjust permissions again. It's about finding what works best for your unique business.
