How to use it

Arrive at Your Payment Dashboard:

  1. Once you've clicked on 'Finances' > 'Payments' (or 'Invoices'), you'll land on a screen that shows a list of all your recent payment activities. Here's what you'll see:

  • A table displaying key information for each transaction, such as the guest's name, the booking reference, the amount, the date, and most importantly, the current payment status.

Understand Payment Statuses:

  1. You'll notice different labels under the 'Status' column. These are helpful for a quick glance!

  • 'Paid': This means the money has been successfully received for that booking – hooray!

  • 'Pending': This usually means a payment is expected or is being processed. Maybe an invoice has been sent, but the payment hasn't arrived yet.

  • 'Overdue': This indicates that a payment was due by a certain date and hasn't been received yet. It's a friendly flag to let you know it might be time for a follow-up.

  • 'Cancelled': The booking or transaction was cancelled, and no payment is expected or the payment was refunded.

Filter and Search for Specific Payments:

  1. At the top of your payment dashboard, you'll usually find some helpful tools to narrow down your view. Look for options like 'Filter by Status', 'Filter by Date', or a 'Search' bar.

  • To find all overdue payments:

  • Click on the 'Filter by Status' dropdown and select 'Overdue'. Instantly, you'll see only the payments that need your attention.

  • To find a specific guest's payment:

  • Type their name or booking reference number into the 'Search' bar and press Enter. The list will update to show only relevant results.

  • To see payments from a certain period:

  • Use the 'Filter by Date' option to select a specific month, quarter, or custom date range. This is fantastic for month-end reconciliations.

View Payment Details:

  1. If you want to dive deeper into a particular payment, click on the row for that transaction in the table. You'll then see:

  • A detailed view of the payment or invoice. This might include the full invoice, a breakdown of charges, payment history, and any notes related to that specific transaction. It's all there to give you the full picture.

  • You can always go back to the main list by clicking the 'Back' button or navigating away. The system is designed to be intuitive and easy to use, so you can track your payments with confidence.

To truly master your payment tracking and keep your business running smoothly, here are a few friendly tips:

  • Check Your Payments Regularly: Make it a habit to log in and review your payments at least once a week, or even daily during busy periods. A quick check can prevent small issues from becoming bigger problems.

  • Use the Filters: Don't be shy with those filter options! They are your best friends for quickly sorting through information. Filtering by "Overdue" status is a powerful way to identify and action payments that need your attention.

  • Follow Up Promptly (and Politely!): If you spot an overdue payment, a gentle reminder can make a big difference. Our system doesn't automatically send reminders, but knowing who to contact and when is half the battle. A quick phone call or email can often resolve things quickly.

  • Reconcile with Your Bank Statements: While our system shows you payments that have been recorded, it's always a good practise to cross reference this with your actual bank statements. This ensures that every payment recorded in the system has
