allows you to log the time spent on specific tasks. This helps tourism operators understand true costs, boost efficiency by identifying time-consuming activities, and plan future projects with greater accuracy.
Accessing this feature
Go to Tasks
How to use it
Open the task: Ensure you are on the specific task details page where you want to log time.
Click the Log Time button: On the task page, find and click the Log Time button. A form will appear.
Fill in the details: Here, you can enter the time you spent. You will see:
Date: This is pre-filled with today's date, but you can change it if you are logging time for a previous date. Click on the date field and select from the calendar.
Duration: How long did you spend on this task? Enter this in hours and minutes. For example, if you spent an hour and a half, enter "1h 30m" or "1.5".
Notes/Description: This is important! Briefly describe what you did during that time. The more specific you are, the more helpful it will be later. For example, instead of "Marketing", write "Researched local events for Q3 marketing campaign" or "Updated social media with new tour departure dates".
Click Save: Click the Save button. Your time entry is now logged against that task. You will see your logged time on the task page, often in a dedicated section or list. You can add multiple entries for a task, and you can edit or delete entries if needed.
Tips
With task time tracking, you gain the following capabilities:
Log time easily: Quickly record the hours and minutes you (or your team) spend on any task.
Add detailed notes: Every time entry can have a specific description, so you will always know what work was done.
View a clear history: See a complete timeline of all time logged against a task, providing a full picture of its progress.
Monitor individual effort: Understand how much time each team member dedicates to different tasks.
Get a better overview: Over time, you will build a valuable database of how long various tourism-related activities take.
To maximise the benefits of task time tracking for your tourism business, here are some tips:
Log time regularly: To keep your time tracking accurate, log your time as you go, or at least at the end of each day. Remembering what you did a week ago can be difficult!
Encourage your team: If you have staff, encourage everyone to participate! When everyone tracks their time, you get a more comprehensive and useful overview of your business's efficiency. Make it a positive habit.
Be specific with your notes: "Admin" is not as helpful as "Responded to 5 guest email enquiries about summer packages" or "Prepared invoices for last month's group tours". Detailed notes will help you remember context and analyse your efforts later.
Use the data for planning: Review how long similar tasks took in the past. This historical data is valuable for estimating future projects, setting realistic deadlines, and pricing new services.
Identify time-consuming activities: You might discover that certain tasks are taking up more time than you realised. This insight can help you decide whether to streamline a process, automate something, or delegate to free up your time for more strategic work.
Connect it to your goals: Consider how tracking time helps you achieve your overall business goals. Is it about increasing profit, improving guest satisfaction by reducing response times, or simply making your workday less stressful?
