How to use it

  1. Access SOP Generation.

  2. You'll see a text box labelled "What SOP do you need?" or "Describe the task." Tell the AI what procedure you want to create.

  • Be as clear as possible. For example, instead of "Cleaning," use "Daily cleaning procedure for guest rooms in our boutique hotel, including linen change and bathroom sanitisation."

  1. Some versions let you pick a tone, such as "Formal," "Friendly," or "Concise." "Concise" or "Standard" is often suitable for an SOP.

  2. Once you fill in the details, click the button labelled Generate SOP or Create Procedure.

  3. The AI generates a draft of your SOP. Review it carefully for accuracy, missing steps, and clarity.

  4. Click the Edit button or click directly into the text to make changes. Customise the SOP for your operations, adding property names, safety notes, or special touches.

  5. Once you're happy with your SOP, click the Save button (or Download if available).

Tips

  • Be specific with your prompts. The more detail you give the AI about the task, the better the initial draft will be. Consider who, what, where, when, and why for each procedure.

  • Always review and refine. The AI is a starting point, so read through the generated SOP carefully and adjust it to fit your business, culture, and local requirements.

  • Involve your team. Have the people who perform the tasks review the SOPs to spot crucial steps or nuances.

  • Store them where they're accessible. Ensure your SOPs are easily accessible to all relevant staff, whether in a shared digital folder or a physical binder.

  • Update regularly. Review and update your procedures periodically (e.g., quarterly or annually), or whenever a process changes.

  • Think beyond "Front of House." Create SOPs for back-office tasks such as inventory management, social media posting, or equipment maintenance.

  • Use them as a training tool. SOPs provide a consistent reference point for new staff and a refresher for existing team members. Consider turning them into checklists.

  • Don't aim for perfection initially. The goal is to get a working document that you can refine over time.
