connects your Tourism Accelerator booking calendar with Google Calendar or Outlook Calendar. This prevents double bookings by automatically updating your availability in Tourism Accelerator based on events in your external calendar, ensuring accurate availability for guests.

Accessing this feature

Go to Settings > Calendar Connections

How to use it

Connecting Your Calendar

  1. Choose Your Calendar Type: On the Calendar Sync page, you'll see options to connect either 'Google Calendar' or 'Outlook Calendar'.

  2. Click the Connect button next to the calendar service you wish to use.

  3. Authorise the Connection: A secure pop-up window will appear, asking you to log in to your Google or Outlook account.

  4. Enter your login credentials (email and password) for the Google or Outlook account that holds the calendar you want to sync.

  5. You might then be asked to grant permission for Tourism Accelerator to view and manage your calendars.

  6. Please click Allow or Accept.

  7. Select Your Calendar(s) to Sync: Once authorised, you'll be brought back to Tourism Accelerator. Here, you'll see a list of the calendars associated with your Google or Outlook account.

  8. Tick the box next to the calendar(s) you wish to sync.

  9. Choose Your Sync Direction: You'll be given options for how you want your calendars to communicate:

  • Two-Way Sync (Recommended): Bookings from Tourism Accelerator will appear as 'busy' events in your chosen Google/Outlook calendar. Any 'busy' events you create in your Google/Outlook calendar (like personal appointments, staff meetings, or maintenance) will block out availability in Tourism Accelerator.

  • Tourism Accelerator to External (One-Way): Only bookings from Tourism Accelerator will be pushed to your Google/Outlook calendar. Your external calendar events won't block availability in Tourism Accelerator.

  • External to Tourism Accelerator (One-Way): Only events from your Google/Outlook calendar will block availability in Tourism Accelerator. Bookings from Tourism Accelerator won't appear in your external calendar.

  1. Map Your Resources (If Applicable): If your Tourism Accelerator account uses specific resources, you might be asked to map these to specific calendars or define how their availability is affected.

  2. Review and Save: Review your selections, especially the chosen calendar and sync direction. Once you're happy, click the Save or Enable Sync button.

Tips

  • We suggest creating a dedicated calendar in Google/Outlook specifically for your Tourism Accelerator bookings.

  • We recommend Two-Way Sync for maximum efficiency and to prevent double bookings.
