Accessing this feature

Go to Settings > Integrations

How to use it

  1. Find the Zapier Connector: Once you're on the 'Integrations' page (as described above), you'll see the Zapier Integration option.

  2. Click to Connect: Next to the Zapier option, you'll see a button. Click the Connect button.

  3. Generate Your Connection Key: You'll be prompted to either link your Zapier account directly or generate a special code (sometimes called an 'API Key'). This code is like a secret handshake that allows Tourism Accelerator and Zapier to talk to each other securely. If you're asked to sign in to Zapier, simply follow the on-screen instructions to authorise the connection. If you're given an 'API Key', make sure to copy it carefully! You'll need this code in the next step when you set up your 'Zaps' (that's what Zapier calls its automated workflows) over on the Zapier website.

  4. Confirm the Connection: After you've linked your accounts or copied your key, you'll usually see a confirmation message in Tourism Accelerator saying that the connection was successful. You might also see the Connect button change to Manage or Connected.

  5. Head Over to Zapier: Now that Tourism Accelerator is ready to chat with Zapier, open a new browser tab and go to https://zapier.com . If you don't have a Zapier account yet, you'll need to create one – it's free to start!

  6. Start Building Your Zaps: On the Zapier website, you can now start creating your automated workflows, or 'Zaps'. When you choose to make a new Zap, you'll be able to select "Tourism Accelerator" as one of your apps. You'll then tell Zapier what you want to happen (e.g., "When a New Booking comes into Tourism Accelerator..." – this is called a 'Trigger').

  7. Choose Your Action App: Next, you'll pick the other app you want to connect to (e.g., "...then Add Contact to Mailchimp " – this is called an 'Action').

  8. Follow Zapier's Steps: Zapier has fantastic, easy-to-follow instructions within their platform for setting up each specific Zap. They'll guide you through choosing what information to send and where. And that's it for getting connected! Once you've set up your Zaps on the Zapier website, they'll run automatically in the background, making your life so much easier.

With Tourism Accelerator connected to Zapier, the possibilities for automation are vast! Here are just a few ideas of what you can achieve:

  • Customer Communication:

  • Automatically add new guest details from bookings to your email marketing lists (e.g., Mailchimp, ActiveCampaign) for newsletters and promotions.

  • Send personalised thank-you emails or follow-up messages a few days after a booking or experience.

  • Trigger SMS messages (via Twilio or similar) for booking confirmations, reminders, or special offers.

  • Operational Efficiency:

  • Create new rows in a Google Sheet or Excel Online spreadsheet whenever a new booking is made, keeping a live log of your sales.

  • Generate tasks in your project management tools (e.g., Trello, Asana, Monday.com) for your team when a new booking requires specific preparation or follow-up.

  • Send internal notifications to your team via Slack or Microsoft Teams when important events happen, like a new booking, a cancellation, or an enquiry.

  • Data Management & Reporting:

  • Automatically update your CRM (e.g., HubSpot, Salesforce) with new guest information or booking details.

  • Log sales data into your accounting software (e.g., Xero, QuickBooks) to streamline your bookkeeping.

  • Back up booking information to cloud storage services like Google Drive or Dropbox.

This is scratching the surface! The beauty of Zapier is its flexibility, allowing you to customise automations to fit your unique business needs perfectly.
