How to use it
Start a New Booking Experience
Go to Experiences.
Click the Add Experience button.
You’ll be taken to a new page to start building your experience.
Give Your Experience a Name and Description
This is where you introduce your offering!
Experience Name: Type in a clear, catchy name for your tour, activity, or accommodation option (e.g., Sydney Harbour Sunset Cruise, Kakadu Wetlands Explorer, Cosy Beachfront Cabin).
Short Description: In a few sentences, tell potential guests what makes this experience special.
Detailed Description: Here’s your chance to shine! Write a comprehensive description that highlights all the aspects. Think about:
What's included (e.g., guide, equipment, meals)?
What's not included?
What makes it unique?
Any key highlights or must-see moments?
Use bullet points for easy reading and break up long paragraphs.
Category: Choose the category that best fits your experience from the dropdown menu (e.g., Tours, Adventure, Accommodation, Food & Wine). This helps guests find you!
Set Your Availability
This is crucial for managing your bookings and ensuring you never over-commit.
Booking Type: Decide if your experience is for Scheduled Dates & Times (like a daily tour) or Open Dates (like accommodation where guests choose a start and end date).
Capacity: If it's a scheduled experience, enter the maximum number of people you can accommodate per slot. For accommodation, this might be 1 unit or the maximum number of guests the property holds.
Calendar Setup:
For Scheduled Experiences: Use the calendar tool to select the days you operate. You can then add specific time slots for each day (e.g., 9:00 AM, 2:00 PM). You can also set a buffer time between bookings if you need time to prepare.
For Open Dates (Accommodation): Mark which dates are generally available. The system will then allow guests to pick their desired check-in and check-out dates within these parameters. You can easily block out dates you're unavailable later.
Cut-off Times: Want to stop bookings a certain number of hours or days before the experience starts? Set a booking cut-off time here. This gives you time to prepare!
Define Your Pricing
How much does your experience cost?
Base Price: Enter the standard price for your experience.
Pricing Options: This is flexible! You can set up different pricing tiers:
Per Person: (e.g., Adult, Child, Senior rates)
Per Group: (e.g., a fixed price for a group of up to 4 people)
Per Unit: (e.g., for accommodation, a price per night)
You can add multiple pricing options by clicking + Add New Price Tier.
Currency: Make sure your local currency (e.g., AUD for Australian Dollars) is selected.
Tax Settings: If applicable, you can add tax rates to your pricing.
Add Important Information & Media
Make your listing shine and provide all necessary details for your guests.
Images & Videos: This is where you bring your experience to life! Click + Add Media to upload high-quality photos and videos. Choose a Featured Image – this is the first thing people will see!
Use stunning visuals that showcase the best of your experience.
Meeting Point: Clearly state where guests should meet (e.g., Outside the Opera House steps, Our office at 123 Main St).
What to Bring: List any essentials guests should bring (e.g., Sunscreen, Comfortable shoes, Swimsuit).
Requirements/Restrictions: Are there any age limits, fitness levels, or other requirements? Be clear here (e.g., Minimum age 8 years, Moderate fitness level required).
Terms & Conditions: You can link to your full terms and conditions page here.
Payment & Confirmation Settings
How will you receive payment, and what happens after a booking?
Payment Options:
Full Payment at Booking: Guests pay the total amount upfront.
Deposit Only: Guests pay a percentage or fixed amount as a deposit, with the balance due later.
Pay Later: Guests book now and pay on arrival. (Note: This might have higher no-show rates, so consider your business model.)
You'll need to have your payment gateway (like Stripe or PayPal) connected in your overall settings for online payments to work.
Booking Confirmation:
Automatic: Bookings are confirmed instantly once payment is processed.
Manual: You review each booking request and manually approve or decline it.
Notifications: Customise the email messages that guests receive after booking, and that you receive when a new booking comes in. Keep them friendly and informative!
