Contact lists help you organise and communicate with your guests. By grouping contacts based on shared interests or booking history, you can send targeted messages, such as offering a discount on a specific tour to guests who have previously expressed interest in similar experiences, leading to increased engagement and repeat bookings.
Accessing this feature
Go to Audience > Contact Lists
How to use it
On the Contact Lists page, look for a prominent button that says Create New List.
You'll see a simple form pop up. The first thing it will ask for is a List Name. Choose a name that clearly describes who belongs in this list. For example:
"Whale Watching Enthusiasts"
"Adventure Tour Bookings 2024"
"Newsletter Subscribers"
"Travel Agents - Key Partners"
A clear name will help you (and anyone else on your team) know exactly what this list is for at a glance.
Below the List Name, you'll see a field for a Description. I highly recommend adding a short explanation here. This is for your internal use only, so your guests won't see it. It's a great place to note things like:
"People who booked the 'Coastal Explorer' tour between Jan-Mar 2024."
"Leads from the 'Taste of Tasmania' trade show."
"Guests who expressed interest in future multi-day tours."
This little note can be a lifesaver when you have many lists and need a reminder of their specific purpose.
Depending on your setup, you might see an option about audience permissions or visibility. For most basic contact lists, you can usually leave this as the default setting, which often means it's visible to your team members. If you're unsure, or if you have specific privacy requirements, don't hesitate to reach out to us!
Once you're happy with your List Name and Description, look for the Save or Create List button. Give it a click!
Tips
Be Specific with Names: The clearer your list name, the easier it is to use. "Booked Guests - Kayaking Tours" is much better than just "Guests".
Use Descriptions Generously: The description field is your best friend for remembering the exact criteria for a list, especially as your business grows and you create more of them.
Group Early and Often: Don't create one big list for everyone. As soon as you have a new type of guest or lead, think about how you might group them. Did they enquire about a specific tour? Are they a local resident vs. an international visitor?
Regularly Review Your Lists: Take a moment every few months to look at your lists. Are they still relevant? Do some contacts need to be moved or updated? Keeping your lists tidy means your communication stays accurate and effective.
Think About the Guest Journey: Consider how your guests interact with your business. You might have lists for "Enquiries," "Booked Guests," "Past Guests," and "Loyalty Members." Each stage might require different messages.
Don't Be Afraid to Experiment: Try creating a list for a specific promotional campaign and see how it performs. You can always adjust or delete lists later if they don't quite fit your needs.
