How to use it
Click the Add New Client button: This will open up the 'New Client' form.
Fill in the Essential Information: You'll see several fields that help you gather the most important details.
First Name: Pop in your client's first name here.
Last Name: Add their last name.
Email Address: This is a super important one! Make sure to get it right so you can easily communicate with them.
Phone Number: Another key contact detail. Including the country code is always a good idea if you have international guests.
Address (Optional but Recommended): You'll usually see fields for Street, Suburb/Town, State, and Postcode. While not always mandatory, having an address can be really useful for demographics, sending welcome packs, or even just for your records.
Country: Select their country from the dropdown list.
Add Any Optional Details: You might see fields for things like Date of Birth (great for sending a birthday greeting!), Preferred Language, or a Company Name if they're booking through a business. Fill these out if you have the information and it's relevant to your operations.
Make Use of the Notes Section: You'll often find a big text box labelled Notes or Client Preferences. This is your space to jot down anything special about this client. Did they mention they're celebrating an anniversary? Do they have a dietary requirement? Are they a repeat guest who loved a particular tour? Pop it in here! These little details make a huge difference in providing personalised service.
Review Everything: Quickly scan over the information you've entered to make sure it all looks correct.
Click Save: Once you're happy with all the details, click the Save button. It's usually at the bottom of the form.

Be Thorough from the Start: While you can always edit, try to gather as much accurate information as possible when you first add a client. The more detail you have, the better you can serve them.
Use the Notes Section Like Gold: This is truly your secret weapon! Make a habit of adding any special requests, dietary needs, accessibility requirements, special occasions (like birthdays or anniversaries), or even "loves historical tours" here. These notes are invaluable for creating memorable experiences.
Update Regularly: If a client provides new contact details or shares new preferences, jump into their profile and update it straight away. Keeping information current ensures you're always connected.
Connect Bookings: Always link new bookings to existing client profiles. This builds a rich history and helps you see their journey with your business, identifying repeat guests and their favourite experiences.
Think Beyond the Booking: Use client data to follow up after a tour, send a personalised thank-you, or even reach out with relevant offers during off-peak seasons. This builds loyalty and encourages repeat business.
Train Your Team: If you have a team, make sure everyone understands the importance of gathering client information and how to properly use the client management feature. Consistency is key!
