How to use it
Now that you're on the 'Create Project' page, you'll see a form waiting for you to fill in some details.
Project Name: This is the name of your project! Try to make it clear and descriptive so you know exactly what it's about at a glance. Examples: "Winter Wonderland Campaign 2024", "New Eco-Tour Development", "Website Refresh Q3", "Staff Training Program".
Project Description: Here's where you can add more detail. What's the main goal of this project? What do you hope to achieve? This is a great place to jot down the 'why'. Example: For "Winter Wonderland Campaign 2024", you might write: "This project aims to promote our winter activities and accommodation packages to increase bookings by 20% during June-August. Includes social media, email marketing, and local partnerships."
Project Manager/Owner: Who's looking after this project? If it's you, enter your name here! If you have a team, you can assign it to the person who will be leading the charge. This helps everyone know who to go to if they have questions.
Start Date & End Date: When do you plan to start this project, and when do you hope to have it finished? These dates help you stay on schedule and give you a clear timeline. Don't worry if they change a little; you can always adjust them later.
Project Type (Optional but helpful!): You might see an option to categorise your project (e.g., Marketing, Product Development, Operations, Event). This can be useful for keeping similar projects grouped together and making it easier to find them later.
Add Team Members (Optional): If you have other people working on this project with you, you can add them here. This means they'll have access to the project details and can contribute.
Budget (Optional): If you have an estimated budget for this project, you can enter it here. It's a great way to keep track of your financial planning.
Once you've filled in these details, take a quick look over everything to make sure it's all correct. Then, click the Save Project or Create Project button at the bottom of the form.
Now that your project is created, the fun begins! Your project hub is a powerful tool to help you manage your work. Here's what you can do:
Break Down Tasks: Add individual tasks to your project (e.g., "Design social media graphics", "Book tour guide", "Write press release").
Assign Responsibilities: Give each task to a team member so everyone knows who's doing what.
Set Deadlines: Assign due dates to tasks to keep everything on track.
Upload Documents: Keep all relevant files in one place β photos, brochures, research, booking forms, or anything else important.
Track Progress: See which tasks are completed, which are in progress, and which are still to start.
Communicate: Share updates and discuss tasks directly within the project with your team.
View Overall Status: Get a quick overview of how your project is progressing against its goals and timeline.
Tips
To really make your projects shine and help your tourism business thrive, here are a few tips:
Be Specific with Names: A clear project name makes it easy to find and understand at a glance. "Autumn Deals" is good, but "Autumn Bushwalking Tour Package 2024" is even better!
Don't Overthink the First Draft: Just get the main idea down. You can always come back and add more details, tasks, and files later. The most important thing is to start!
Break It Down: Big projects can feel overwhelming. Try to break them into smaller, more manageable tasks. This makes them less daunting and easier to tick off.
Regular Check-ins: Make it a habit to check your projects a couple of times a week. This helps you stay on top of things and adjust if needed.
Use the Description: This isn't just a place for a few words! Use it to clearly state your project's main objective and key outcomes. It's a great reminder for everyone involved.
Collaborate: If you have team members, encourage them to use the project space. It's designed to make working together more efficient.
