How to use it
Start a New Invoice
Go to the "Invoices" page.
Click the + New Invoice or Create Invoice button. This opens a new invoice form.
Fill in the Client Details
Client Name: Enter the client's name. If they are in the system, they will appear for selection. If they are a new client, select Add New Client, enter their details (name and email address), and then click Save.
Client Email: Ensure the email address is correct, as the invoice will be sent to this address.
Billing Address: This pre-fills if you select an existing client. Verify its accuracy.
Invoice Details
Invoice Number: The system generates a unique invoice number automatically (e.g., INV-2023-001).
Invoice Date: The date defaults to today's date but can be changed.
Due Date: Select a payment due date from the calendar (e.g., 7, 14, or 30 days from the invoice date).
Currency: Set the currency (e.g., AUD for Australian Dollars).
Add Your Services (Line Items)
Click + Add Line Item.
Description: Enter a description of the service or experience (e.g., "3-Day Outback Adventure Package," "Guided Dolphin Watching Tour for 2," or "Accommodation - King Room, 2 nights").
Quantity: Enter the quantity of the service.
Unit Price: Enter the price for one unit of the service.
Tax/GST: Select the tax rate (e.g., 10% GST in Australia). The system calculates the tax automatically.
Click + Add Line Item to add more services.
Add Special Notes (Optional)
In the Notes or Terms and Conditions box, add payment instructions, booking references, a thank-you message, or cancellation policy details.
Review Everything
Review the client details, dates, service descriptions, quantities, prices, and the total amount.
Save or Generate
Click the Save Invoice or Generate Invoice button. The invoice is created and saved.
Tips
Send invoices promptly after a booking is confirmed or a service has been delivered.
Use clear and detailed descriptions for your services (e.g., "Guided Wildlife Photography Tour (Full Day)").
Set clear payment terms (e.g., "Payment Due: 7 days from invoice date").
Upload your business logo to brand your invoices.
Update client details regularly.
Review outstanding invoices and send reminders.
