How to use it

Follow these steps to set up and manage your event ticket types and pricing:

Add a New Ticket Type:

  1. On the 'Tickets & Pricing' tab, click the "[Add New Ticket Type]" button. [Button name is not verifiable. REQUIRES_DEVELOPER_INPUT]

  2. A configuration panel will appear, prompting for ticket details.

Configure Ticket Details:

  1. Ticket Name: Assign a clear, descriptive name (e.g., "General Admission," "VIP Experience," "Early Bird," "Child Ticket"). This name will be visible to guests.

  2. Description (Optional): Provide a brief description of what the ticket includes or any specific conditions. This enhances clarity for purchasers.

  3. Capacity: Enter the total number of tickets available for this specific type. Leave blank for unlimited (use with caution).

  4. Price: Input the base price for this ticket type. Ensure taxes are accounted for as per your organisation's settings.

  5. Sales Period: Define the start and end dates and times when this ticket type will be available for purchase. This is crucial for managing early bird or late release phases.

  6. Visibility: Choose whether the ticket is 'Public' (visible to all guests) or 'Private' (only accessible via a direct link or specific code).

  7. Minimum/Maximum Purchase: Set limits on the number of tickets a single guest can purchase in one transaction for this type.

  8. Availability per Session (for multi-session events): If your event has multiple dates or time slots, specify which sessions this ticket type is valid for and its capacity within each session.

  9. Click Save to create the ticket type.

Implement Tiered Pricing (Optional):

For existing ticket types, you can add pricing levels (e.g., "Early Bird," "Standard," "Late Release") by duplicating a ticket type and adjusting its price and sales period. Alternatively, some configurations allow adding multiple price points to a single ticket type, each with its own sales window. Consult your platform specifics for this functionality.

Apply Discounts and Promotional Codes:

Manage Existing Ticket Types:

From the 'Tickets & Pricing' tab, you can view all created ticket types.

  1. Edit: Click the 'Edit' icon next to a ticket type to modify its details (name, price, capacity, sales period, etc.).

  2. Duplicate: Use the 'Duplicate' function to quickly create a new ticket type based on an existing one, saving time when setting up similar options. [Function is not verifiable. REQUIRES_DEVELOPER_INPUT]

  3. Deactivate/Archive: If a ticket type is no longer available or relevant, you can deactivate or archive it. This removes it from public view but retains its data for reporting. [Function is not verifiable. REQUIRES_DEVELOPER_INPUT]

  4. Reorder: Drag and drop ticket types to change their display order on the public booking page. [Function is not verifiable. REQUIRES_DEVELOPER_INPUT]

Review and Publish:

Before making your event live, thoroughly review all ticket types, prices, capacities, and sales periods to ensure accuracy. Ensure the event status is set to 'Published' for tickets to become available for purchase according to their defined sales windows.

Tips

  • Strategize tiered pricing: Introduce Early Bird, Standard, and Late Release levels to incentivise early bookings and maximise revenue potential as the event date approaches.

  • Provide clear descriptions: Ensure each ticket type has a concise and accurate description outlining what is included and any specific conditions (e.g., age restrictions, access to specific areas).

  • Manage capacity proactively: Regularly monitor ticket sales against defined capacities. Adjust capacities as needed, or plan for additional resources if demand exceeds initial expectations.

  • Synchronise sales windows: Carefully plan and synchronise the sales periods for different ticket types to avoid overlaps or gaps that could lead to confusion or missed sales opportunities.

  • Test the booking flow: Before launching your event, conduct a test purchase using each ticket type to ensure pricing, sales windows, and the overall booking experience function as intended.

  • Use promotional codes: Integrate promotional codes into your marketing strategy to offer targeted discounts, reward loyal guests, or track campaign effectiveness.

  • Regularly review performance: Analyse ticket sales data post-event to understand which ticket types performed best, inform future pricing strategies, and optimise event planning.
