The Viewer role provides read-only access to content within Tourism Accelerator Launchpad. This allows stakeholders to view reports, dashboards, and project plans without the ability to edit, ensuring data integrity and facilitating informed decision-making. For example, a marketing manager can review campaign performance without accidentally altering the data.

Accessing this feature

The Viewer role is assigned by an administrator to manage user permissions within the organisation. To assign or review user roles:

  1. Go to Admin > Users

  2. Locate the specific user whose role you wish to manage.

  3. Select the user to open their profile details.

  4. From the 'Role Assignment' dropdown menu, choose 'Viewer'.

  5. Confirm the changes to apply the Viewer role to the selected user.

Once assigned, the user will have immediate read-only access to all content within their designated scope, reflecting the limitations inherent to the Viewer role.

How to use it

Users assigned the Viewer role interact with content in a read-only capacity, focusing on information consumption rather than creation or modification. The experience is designed to be intuitive for viewing and analysis.

  1. Log In and Navigate: Viewers log in to the Tourism Accelerator Launchpad using their assigned credentials. Upon successful login, they can navigate through the platform to access projects, reports, dashboards, and other content to which they have been granted viewing access.

  2. Access Content: Viewers can open and review any document, report, or dashboard that has been shared with them or is generally accessible to the Viewer role within their organisation's configuration. Content is displayed in its complete and published form.

  3. Review Information: Within accessed content, viewers can scroll, read text, examine images, and interact with data visualizations. All data presented is current as of its last publication or update by an editor.

  4. Understand Interface Limitations: Crucially, the interface for viewers will not display options for editing, saving, deleting, or creating new content. Buttons or menus typically associated with modification (e.g., "Edit," "Save," "New Project," "Upload File") are absent or greyed out, clearly indicating the read-only nature of the role.

  5. Filter and Sort Data (View-Only): While viewers cannot alter underlying data, they can often apply filters and sort options within their current view to better understand specific subsets of information. These filtering and sorting actions are temporary and do not affect the original data or how it is presented to other users.

  6. Print and Export (Read-Only): Depending on specific content settings, viewers may have the option to print the current view or export data into common formats like PDF or CSV. These exports are static snapshots of the displayed information and cannot be re-imported or used to modify the platform's content.

Key Capabilities

The Viewer role, while restricted from modification, offers robust capabilities for information access and analysis:

  • Comprehensive Content Viewing: Viewers can access and review all published reports, dashboards, project plans, documents, and other content within their assigned permissions scope. This includes text, images, videos, and interactive data visualizations.

  • Data Analysis and Interpretation: Users can interact with dynamic data visualizations, apply temporary filters, and sort columns to gain deeper insights into the presented data. These actions are for personal analysis and do not alter the source data.

  • Historical Data Access: Viewers can access historical versions of documents or reports, allowing them to track progress and understand changes over time, without the ability to restore or modify past versions.

  • Read-Only Export Functionality: The ability to export data, reports, or documents into formats such as PDF or CSV makes sure that viewers can retain copies of information for offline review, presentation, or further analysis using external tools.

  • Search and Navigation: Viewers can use the platform's search functionality to efficiently locate specific reports, projects, or data points, enhancing their ability to find relevant information quickly.

  • Synchronisation with External Tools (Read-Only Feeds): Where applicable, viewers may be able to synchronise specific read-only data feeds with external business intelligence tools or reporting dashboards, allowing for integrated analysis without direct platform access for editing.

Tips

Leveraging the Viewer role effectively makes sure secure information sharing and streamlined communication within your organisation.

  • Strategic Role Assignment: Assign the Viewer role to team members, stakeholders, or external partners who require access to information for decision-making, reporting, or awareness but should not have the ability to alter content. This maintains content integrity.

  • Clear Communication of Limitations: Inform viewers about the read-only nature of their access. Clearly explain what they can and cannot do to manage expectations and prevent frustration, directing them to appropriate channels for feedback or requested changes.

  • Content Design for Viewers: When creating content, ensure it is self-explanatory, well-organised, and provides sufficient context for viewers. Since viewers cannot edit, all necessary information should be present in the published version.

  • Regular Permission Audits: Periodically review user role assignments, particularly for long-term projects or evolving teams. Make sure that individuals continue to have the appropriate level of access, upgrading or downgrading roles as responsibilities change.

  • Use for Reporting and Compliance: The Viewer role is ideal for sharing progress reports with senior management, external auditors, or regulatory bodies, providing transparency without risking accidental modifications to sensitive data.

  • Encourage Feedback Channels: Establish clear channels for viewers to provide feedback, ask questions, or request changes. While they cannot edit directly, their insights are valuable and should be collected through designated communication pathways.
