Go to Settings > Team.
How to use it
The Team Member Invitation Process guides you through adding new members to your organisation. Follow these steps to invite and manage your team:
Initiate an Invitation
From the Team Management dashboard, locate and click the Invite Team Member button.
This is typically positioned in the top right corner or prominently displayed.
Enter Team Member Details
A dialogue box or new screen will appear.
Input the email address of the individual you wish to invite.
Ensure the email address is accurate as the invitation will be sent directly to it.
Assign a Role
Select an appropriate role for the new team member from the dropdown menu.
Roles define the level of access and permissions the team member will have within your organisation's account. Common roles include:
Administrator: Full access to all features, including team management, billing, and content.
Editor: Ability to create, edit, and publish content, but typically without access to settings or team management.
Viewer: Read-only access to specified content or reports.
Carefully consider the necessary level of access for the individual's responsibilities.
Send the Invitation
After entering the email and selecting a role, click the Send Invitation button.
An email containing a unique invitation link will be dispatched to the provided address.
Team Member Acceptance
The invited individual will receive an email prompting them to accept the invitation.
They will need to click the provided link, which will direct them to either create a new account or sign in to an existing one.
Upon successful acceptance, they will gain access to your organisation's account with the assigned role.
Monitor Invitation Status
Back in the Team Management dashboard, you can track the status of all sent invitations.
Invitations will typically display as "Pending" until accepted.
Resend or Revoke Invitations
If a team member has not accepted their invitation within a reasonable timeframe, you can resend the invitation from the Team Management dashboard.
Locate the pending invitation and click the Resend option.
If an invitation was sent in error or is no longer required, you can revoke it.
Revoking an invitation invalidates the unique link, preventing the recipient from joining your organisation via that specific invite.
Manage Existing Team Members
Once a team member has accepted an invitation, they will appear in the "Active Team Members" list.
From here, you can:
Modify Role: Click on an active team member's entry to change their assigned role and update their permissions.
Remove Team Member: If a team member no longer requires access, you can remove them from your organisation. This action immediately revokes their access to all organisation resources.
Tips
Always assign the minimum necessary role and permissions for a team member to perform their duties. Avoid granting Administrator access unless absolutely essential.
Periodically review the roles and permissions of all active team members. This helps identify and correct any unnecessary access, especially for long-standing team members whose responsibilities may have changed.
When a team member departs or no longer requires access, remove them from your organisation's account immediately. This is a critical security measure to prevent unauthorised access.
Inform team members about any changes to their assigned roles or permissions. This transparency helps them understand their capabilities and limitations within the platform.
Ensure the email addresses used for invitations and team member profiles are current and monitored by the respective individuals.
Encourage all team members to use strong, unique passwords and enable multi-factor authentication if available, improving overall account security.
