The Calendar Week View displays your schedule, appointments, and availability across seven days. This view helps tourism operators plan operations, manage commitments, and identify schedule conflicts to improve resource allocation and time management.

The Calendar Week View displays your schedule, appointments, and availability across seven days. This view helps tourism operators plan operations, manage commitments, and identify schedule conflicts to improve resource allocation and time management.

Accessing this feature

To go to the Calendar Week View:

  1. From the main dashboard, select Calendar from the left-hand navigation menu.

  2. Within the Calendar interface, locate the view selector, typically positioned at the top right or left of the calendar display.

  3. Click on Week View to display your schedule in a seven-day format.

How to use it

The Week View is designed for intuitive interaction and efficient schedule management.

Navigating Weeks

To move forward or backward through weeks, use the arrow icons typically located adjacent to the current week's date range at the top of the calendar. Clicking the left arrow displays the previous week, while clicking the right arrow advances to the next week.

Returning to Today

To quickly return to the current week, click the Today button, usually found near the week navigation arrows. This action immediately re-centres the calendar on the present seven-day period.

Understanding the Layout

The Week View displays each day of the week horizontally, with time slots arranged vertically down the left side. Events are represented as blocks occupying specific time slots on their respective days. The duration of an event is visually indicated by the height of its block.

Adding New Events

Quick Add:

  1. Click directly on an empty time slot within the desired day.

  2. A small pop-up or form will appear, allowing you to input the event title, time, and other basic details.

Detailed Add:

  1. For more comprehensive event creation, click on an empty time slot.

  2. Select an option like Add Event or New Appointment. This typically opens a dedicated event creation dialogue where you can specify a wider range of details, including attendees, location, notes, and recurrence patterns.

Editing Existing Events

To modify an event, click on its block within the calendar. This action will typically open a details panel or editing window where you can adjust the event's title, time, date, duration, description, and other associated information. Remember to Save any changes.

Rescheduling Events (Drag-and-Drop)

To quickly change an event's time or day within the current week, click and hold the event block, then drag it to the desired new time slot or day. Release the mouse button to drop the event in its new position. This functionality streamlines the process of adjusting schedules.

Adjusting Event Duration

To extend or shorten an event, hover your cursor over the top or bottom edge of the event block until a resize handle appears (often a double-headed arrow). Click and drag this handle upwards or downwards to modify the event's duration.

Deleting Events

To remove an event, click on its block to open the details panel, then locate and click the Delete or Remove option. A confirmation prompt may appear to prevent accidental deletions.

Viewing Event Details

Clicking on any event block will display a summary or a detailed view of the event, including its full description, participants, and any attached files or links. This allows for quick access to pertinent information without leaving the Week View.

Tips

  • Regularly review your upcoming schedule in the Week View. This proactive approach helps identify potential issues, prepare for commitments, and optimise your time.

  • Use the calendar's colour-coding features to categorise events (e.g., meetings, client appointments, personal time, administrative tasks). This visual distinction significantly improves readability and allows for quick identification of different types of commitments.

  • For regular, repeating appointments or tasks, set up recurring events. This saves time and ensures consistency, eliminating the need to manually add the same event multiple times.

  • When creating events, include all necessary details such as location, attendees, a brief agenda, and any required preparation. This reduces ambiguity and ensures all participants are adequately informed.

  • Proactively schedule blocks of uninterrupted time for deep work or strategic planning. Treat these blocks as seriously as any other appointment to protect your productivity.

  • If working with teams or clients in different geographical locations, ensure your calendar settings correctly display time zones to avoid scheduling errors.

  • While the Week View is excellent for time-bound events, consider how it integrates with any task management systems you use. Schedule specific time slots in your calendar for completing important tasks to ensure they receive attention.

  • Regularly update your availability within the calendar to accurately reflect when you are free for new appointments, preventing double-bookings and improving scheduling efficiency for others in your organisation.
