Accessing this feature

Go to Events Dashboard .

Select the specific event requiring QR code generation from your list of managed events.

Click on the event name or the corresponding Manage Event button.

Within the Event Management interface, locate and click on the Tickets and Registration section.

From the Tickets and Registration menu, select QR Code Settings.

How to use it

Go to QR Code Settings: As described in the "Accessing This Feature" section, proceed to the QR Code Settings for your selected event.

  1. Select Ticket Types for Generation: Identify the specific ticket types for which you wish to generate QR codes. You may choose to generate codes for all tickets associated with the event, or select individual ticket categories (e.g., General Admission, VIP, Early Bird). This ensures that each generated code is linked to the correct ticket tier and associated entitlements.

  2. Configure QR Code Data: Determine the data to be embedded within each QR code. Essential data points typically include the unique ticket ID, attendee name, and event details. The platform allows for customisation, enabling you to include additional relevant information such as seat numbers, access zones, or specific booking references. This embedded data is crucial for efficient validation at the point of entry.

  3. Initiate Generation Process: Once your selections and configurations are complete, click the Generate QR Codes button. The system will process your request, creating unique, encrypted QR codes for each ticket based on the specified parameters. This process may take a few moments depending on the volume of tickets.

  4. Review Generated Codes: After generation, a summary or preview of the QR codes will be presented. It is critical to review a sample of the generated codes to ensure they are correctly formatted and contain the intended data. This step allows for verification before distribution.

  5. Distribute QR Codes to Guests: The platform offers various methods for distributing the generated QR codes. Options typically include attaching them directly to confirmation emails, providing a download link for guests, or integrating them into printable e-tickets. Ensure your chosen method is clear and accessible for all ticket holders.

  6. Synchronise with Check-in System: For seamless event day operations, ensure the generated QR codes are synchronised with your event check-in system. This integration allows your on-site staff to scan guest QR codes efficiently, validate ticket authenticity, and monitor entry in real time. Confirm that all check-in devices and applications are properly configured to read and process these codes.

  • Test Thoroughly Before Distribution: Always generate and test a sample of QR codes using your intended check-in hardware and software well in advance of the event. This confirms functionality and prevents on-site issues.

  • Provide Clear Instructions to Guests: Ensure guests receive clear, concise instructions on how to access and present their QR code for scanning. Advise them to have their code ready on their mobile device or printed ticket upon arrival.

  • Implement a Robust Backup Plan: While QR codes are highly reliable, always have a manual check-in or lookup system as a backup. This ensures continuity in case of technical issues, power outages, or guest difficulties with their mobile devices.
