How to use it
Enable Event Notifications
At the top of the Event Reminders tab, locate the "Enable Event Reminders" toggle.
Ensure this is switched to the 'On' position to activate all notification functionalities. If disabled, no event notifications are sent, regardless of other settings.
Define Default Notification Intervals
The platform allows you to set default reminder times applicable to all events unless specifically overridden.
Click the Add Reminder button to introduce a new reminder interval.
From the dropdown menu, select the desired timeframe before the event start. Options include: "15 minutes before", "30 minutes before", "1 hour before", "2 hours before", "1 day before", "3 days before", "1 week before".
You can add multiple reminder intervals (e.g., one a week before, and another an hour before) to create a layered notification system.
To remove an interval, click the 'X' icon next to the respective reminder.
Select Notification Channels
Under the "Notification Channels" section, specify how you wish to receive these notifications.
Email: Check the box next to "Email" to receive notifications via the email address associated with your Tourism Accelerator account. This is the primary and recommended channel for critical notifications.
In-Platform Notification: Check the box next to "In-Platform Notification" to receive alerts directly within the Tourism Accelerator application, visible in your notification centre and often as a pop-up.
It is advisable to select at least two channels to ensure redundancy and increase the likelihood of timely notification.
Configure Specific Event Overrides (Optional)
For individual events that require unique notification schedules, go directly to the specific event's details page within the Events section.
Locate the "Reminder Settings" panel on the event's detail page.
You will find an option to "Use Global Settings" or "Customise for this Event".
Select "Customise for this Event".
Proceed to define specific reminder intervals and channels for that particular event, following the same process as for default settings. These custom settings override your global preferences solely for that event.
Synchronise with External Calendars
To integrate your event notifications with personal or professional calendar applications (e.g., Google Calendar, Outlook Calendar, Apple Calendar), locate the "Calendar Synchronisation" section.
Click Generate iCal Link or Connect to Calendar.
Follow the on-screen instructions to copy the provided iCal URL and paste it into your external calendar application's "Add by URL" or "Subscribe to Calendar" function. This automatically populates your external calendar with events from the Tourism Accelerator platform, including their associated reminder times.
After making any modifications to your reminder settings, click the Save Changes button to apply your configurations. Unsaved changes are lost upon navigating away from the page.
Tips
Review Regularly: Periodically review your event reminder settings, especially after platform updates or changes in your operational workflow, to ensure they remain aligned with your current needs.
Layer Reminders Strategically: For high-priority events, consider setting multiple reminders (e.g., a long-range reminder for preparation and a short-range reminder for immediate action) to create a comprehensive notification strategy.
Avoid Over-Notification: While multiple reminders can be beneficial, excessive notifications can lead to 'reminder fatigue'. Balance the number and timing of reminders to provide sufficient notice without becoming disruptive.
Use Calendar Synchronisation: Use the external calendar synchronisation feature to consolidate all your events and reminders in one central location, enhancing your overall scheduling and time management.
Team Communication: If operating within a team environment, encourage all team members to configure their personal reminder settings.
