Accessing this feature
Go to Settings > Email Management > Domain Verification
How to use it
Initiate Domain Addition
From the Domain Verification page, click the Add New Domain button.
Enter the full domain name you wish to verify (e.g., yourbusiness.com.au) into the designated field.
Click Continue or Add Domain.
Retrieve DNS Records
The platform will then generate a set of unique DNS records required for verification. These typically include:
TXT Record (for SPF): An SPF (Sender Policy Framework) record specifies which mail servers are authorised to send email on behalf of your domain.
TXT Record (for DKIM): A DKIM (DomainKeys Identified Mail) record adds a digital signature to your outbound emails, allowing recipient servers to verify the email was not altered in transit.
CNAME Record: This record may be required for tracking links or other specific platform functionalities, ensuring they resolve correctly to our services.
Carefully copy each record, including the Host/Name, Value/Points To, and Type. It is crucial to copy these exactly as provided.
Access Your Domain's DNS Provider
In a new browser tab, log in to your domain registrar's or DNS hosting provider's account (e.g., GoDaddy, Cloudflare, cPanel, etc.). Go to the DNS management section for the domain you are verifying. This section might be labelled "DNS Settings," "Zone File Editor," "Manage DNS," or similar.
Add the Provided DNS Records
For each record obtained in the Retrieve DNS Records step, create a new record entry within your DNS settings:
Type: Select the corresponding record type (TXT or CNAME).
Host/Name: Paste the Host/Name value exactly as provided by our platform. Some providers may automatically append your domain name; if so, only enter the subdomain part (e.g., if the platform provides _domainkey.yourbusiness.com.au and your provider appends yourbusiness.com.au, you would only enter _domainkey).
Value/Points To: Paste the Value/Points To content exactly as provided.
TTL (Time To Live): You can typically leave this at the default setting or set it to a lower value (e.g., 300 seconds or 5 minutes) to speed up propagation, then revert to a higher value later.
Save DNS Changes
After adding all required records, save the changes within your DNS provider's platform.
Initiate Verification Check
Return to our platform's Domain Verification page. Locate the domain you are verifying and click the Check Status or Verify Now button. The system will attempt to query your domain's DNS records to confirm their presence and accuracy.
Monitor Verification Status
DNS record propagation can take anywhere from a few minutes to 48 hours, depending on your DNS provider and global DNS synchronisation. The status of your domain will update on the Domain Verification page. Once all records are successfully detected, the domain status will change to "Verified." If verification fails after a reasonable waiting period, carefully re-check the records you added to your DNS provider for any typos or incorrect entries.
Tips
Accuracy is Essential: Double-check every character when copying and pasting DNS records. A single typo can prevent verification.
Understand DNS Propagation: Be aware that it takes time for DNS changes to propagate across the internet. Patience is key, and repeated checks within a short timeframe may not reflect the latest status.
Centralize DNS Management: If possible, manage all your domain's DNS records through a single, reliable provider for consistency and ease of access.
Secure DNS Access: Ensure your login credentials for your domain registrar/DNS provider are strong and securely stored, as unauthorized access could compromise your domain's email integrity.
Consult Your DNS Provider: If you are unfamiliar with editing DNS records, refer to your domain registrar's help documentation or contact their support team for assistance. They can guide you through the process specific to their platform.
Verify All Sending Domains: For best deliverability and brand consistency, verify every domain from which your organisation sends emails.
Regularly Review Status: Periodically check the verification status of your domains within the platform to ensure they remain active and correctly configured.
