How to use it
The Action Plan Management feature guides you through a streamlined process to develop and manage your improvement initiatives:
Starting a New Action Plan:
From the Action Plans dashboard, select the Create New Plan button. This opens a dedicated interface for setting up your new plan.
Defining Plan Details:
Plan Name: Provide a clear, descriptive name for your action plan that reflects its primary objective (e.g., "Q3 Guest Service Improvement," "Website Optimisation Project").
Objective: Describe the overall goal your action plan aims to achieve. This objective should be specific, measurable, achievable, relevant, and time-bound (SMART).
Timeframe: Set a realistic start and end date for the entire action plan. This provides a clear duration for its execution and completion.
Description (Optional): Add any additional context, background information, or strategic alignment details relevant to the plan.
Adding Individual Actions/Tasks:
Within your newly created plan, start adding the specific tasks required to achieve your objective. For each action:
Action Title: Give the task a concise, clear title (e.g., "Revise FAQ Section," "Train Front Desk Staff on New Booking System").
Description: Elaborate on the specifics of the task, outlining what needs to be done.
Assignee: Allocate the task to a specific team member responsible for its completion. This ensures clear ownership.
Due Date: Set a realistic deadline for the completion of the individual action.
Status: Assign an initial status (e.g., 'Pending,' 'Not Started,' 'In Progress').
Priority (Optional): Designate a priority level (e.g., 'Low,' 'Medium,' 'High,' 'Critical') to help manage workload and focus.
Organising and Prioritising Actions:
Once actions are added, you can reorder them to reflect dependencies or logical sequencing. Use priority settings to highlight critical tasks that require immediate attention. The system provides an overview that allows you to sort and filter actions based on assignee, due date, or status.
Monitoring Progress and Updating Status:
Regularly review the progress of each action. As tasks advance, update their status (e.g., 'In Progress,' 'Completed,' 'On Hold,' 'Blocked'). This provides real-time visibility into the plan's execution and allows for timely intervention if tasks fall behind schedule.
Completing or Archiving Plan:
Upon successful completion of all actions and achievement of the plan's objective, mark the entire action plan as 'Completed.' Completed plans are moved to an archive, allowing you to maintain a historical record of your organisation's improvement initiatives while keeping your active plans dashboard clear.

Define SMART Objectives: Ensure every action plan is built around an objective that is Specific, Measurable, Achievable, Relevant, and Time-bound. This clarity provides a definitive target and framework for success.
Break Down Complex Tasks: Break down large or complex initiatives into smaller, more manageable actions. This makes tasks less daunting, easier to assign, and simpler to track, promoting consistent progress.
Assign Clear Ownership: For every action, designate a single, responsible individual. Clear ownership prevents ambiguity, enhances accountability, and ensures that tasks are actively driven towards completion.
Establish Realistic Deadlines: Set achievable due dates for both individual actions and the overall plan. Overly ambitious deadlines can lead to demotivation and quality compromises, while realistic ones foster consistent effort.
